Summary Statement

The City of Boise is recruiting for a part-time Travel Coordinator/Admin in the Public Works department. This position works up to 19 hours per week and is not eligible for benefits.

This position:

  • Arranges, manages and coordinates all aspects of Public Works department business travel
  • Coordinates employee transportation, lodging, car rental and develops itineraries
  • Adheres to policies and procedures for the city's employee travel program
  • Serves as a subject matter expert and liaison for the department, travel agencies and third-party travel software provider
  • Works under general supervision

Essential Functions

Coordinates all travel needs for the Public Works department. Schedules hotels, flights, and car rentals and prepares itineraries. Assists with processing and other travel-related documentation. Works with outside travel agencies. Serves as a subject matter expert and point of contact for all travel-related issues or concerns. Communicates travel status with internal customers. Research, negotiate, and secure rates with airlines, car rental companies, and hotels. Seeks and maintains knowledge as to the best seasonal pricing and availability. (50%)

Administer, monitor and reimburse city employees for the cost of hotel rooms, taxi rides, meals and or other travel expenses. Prepares, processes and monitors employee travel advances and reimbursements. Validates employee advance and reimbursement requests to ensure adherence to city policies and procedures. Tracks travel advances and reimbursements submissions and payments to facilitate timely processing and provides a monthly report. (30%)

Processes p-card transactions and coordinates with department staff to ensure the correct expenditure lines are charged and purchases adhere to all applicable city purchasing policies. Communicates with p-cardholders to help them understand and provide accurate and appropriate documentation in a timely manner. Participates in audit reviews, special projects, or training efforts as required. (20%)

Requirements

Required Knowledge, Experience, and Training

  • Two years of experience in the hospitality and travel field
  • High school graduation or GED equivalent
  • Or an equivalent combination of education and/or experience
Knowledge
  • Advanced knowledge of coordinating travel arrangements
  • Working in the travel industry
  • Firm grasp of digital data and file management systems
Ability
  • Use accounting and spreadsheet software
  • Prepare reports

  • Communicate effectively verbally and in writing
  • Establish methods, procedures, and internal controls to maintain travel and purchasing card systems

Preferred Knowledge, Experience, and Training
  • Associate's degree in business or related field
  • Six years of experience as a travel coordinator
  • Or an equivalent combination of education and/or experience
  • Travel software (such as Concur) and/or online reservation system experience
Special Requirements
Applicants must be able to pass:
  • City of Boise background check processes which includes a criminal history check and reference checks in accordance with the City of Boise Hiring Process Regulation

Physical Efforts
While performing the duties of this job the employee is rarely lifting/carrying up to 35 pounds. Also, the employee is rarely pushing/pulling up to 50 pounds. The noise level is occasionally moderate and rarely loud. Work includes the sensory ability to talk, hear, smell and touch. Work in this position also includes close vision, distance vision and peripheral vision. Employees will sit, stand, walk, stoop, kneel, crouch, crawl, reach, grasp, climb and balance. Position requires hand/finger dexterity.

Working Environment
The work environment will include inside conditions, areas of dust, odors, mist, gases or other airborne matter.


19-Hour Temporary
All temporary part-time employees working less than an average of 19-hours per week are not currently eligible for benefits.

4-Month Temporary
All 4-month temporary employees working an average of 40-hours per week will accrue personal leave which can be used during employment.

8-Month Seasonal
In addition to accruing personal leave, anyone in an 8-month seasonal position working over an average of 30-hours per week is eligible for medical coverage.

9-Month Temporary
In addition to personal leave accrual and medical coverage, a position that is classified as a 9-month temporary is eligible for PERSI retirement benefits.
