JOB SUMMARY
For Our Future Wisconsin seeks an experienced Operations Director to support a large, statewide outreach organization. The Operations Director is a senior staff member responsible for overseeing and facilitating all day-to-day operations and human resources, including recruitment and hiring, inventory management, logistical support, helping staff navigate operational issues, and supporting the State Director on budget management. Successful candidates will bring all or most of the following skills and attributes to this position: a commitment to teamwork; creative and resourceful approach to problem-solving, a passion for systems management; a high degree of personal organization; the ability to juggle several priorities that may change quickly; and a keen attention to detail.
This role will report directly to the State Director, and work in conjunction with the national For Our Future Operations and HR teams.

ESSENTIAL FUNCTIONS
The Operations Director will be responsible for ensuring the following functions, either directly or through management and supervision of additional operations and HR support staff.
Operations:
Oversee the day-to-day on the ground operations for the Wisconsin team, including financial, staffing, facilities and general logistics management.
Work with national operations specialists to ensure state operations systems and processes adhere to organizational standards and expectations.
Work with State Director to manage and track the budget
Manage and track all expenses and contracts related to field offices: lease agreements, internet contracts, and other contracts.
Facilities management, including but not limited to keeping offices presentable and in working order, communicating with landlords and building management as needed, managing incoming and outgoing mail
Ordering supplies, managing equipment, tracking inventory, and submitting purchase requests as needed
Oversight of in-state reimbursements for employees, including training staff on procedure for manager approval, and submitting requests for payment
Record retention for all state expenses (receipts and payment records as needed).
Update internal operations procedures document as needed.
Support State Director in managing and resolving operational issues, seeking support and guidance from the National operations team.
Maintenance of physical and cloud based files and records in-state; training staff on best practices and ensuring materials are kept in accordance with document retention policies
Manage incoming and outgoing letters and packages.
Perform general office administrative and clerical duties.
Assist staff with technical issues, with support from National operations team
Track and approve outgoing disbursements including, but not limited to, invoices from vendors and contractors, check and wire requests, and credit card payments for expenses.
Other duties as assigned.
Human Resources:
Work with the State Director to help create an inclusive and supportive working environment for all employees and to ensure that FOF follows best practices for recruitment and staff management.
Work with the State Director and other supervisors on appropriate strategies and policies for recruitment, hiring, staff management, and conflict resolution.
Work with the State Director,and National HR team to assist with in-state hiring and tracking through HRIS software.
Work with the National Human Resources team to ensure compliance with employment law, payroll best practices, trainings, and resolving staff issues in a professional and timely manner.
Coordinate with state leadership and hiring managers on the interview process; assist with interviews or send offer letters to prospective hires as needed.
Coordinate with state leadership, hiring managers and operations staff to facilitate new hire onboarding.
Ensure new hires complete all required documentation and training.
Conduct HR trainings and ensure all staff understand FOFAF staff policies, benefits, and administrative procedures.
Maintain an effective employee relations program, which incorporates the values of diversity, equity, and inclusion.
Support supervisors in their role of supporting, evaluating, and training staff.
Ensure timesheet compliance for all in-state employees.
Coordinate with external HR vendors to ensure payroll is run accurately and smoothly.
SKILLS & QUALIFICATIONS
Prior campaign experience.
Prior HR experience preferred.
Extraordinary attention to detail.
Strong verbal communications and interpersonal skills.
Experience managing staff and/or interns preferred.
Experience working on projects in a fast-paced environment.
Ability to exercise good judgment in high-pressure situations. Flexibility and a willingness to take on new tasks as the responsibilities as the position evolves.
Resourceful problem solver.
Experience with GSuite and Google Sheets highly preferred
Strong knowledge of Microsoft Excel
Strong computer literacy is required.
Reliable transportation.
Ability to travel within the state and work long hours.

This position may include supervisory responsibilities. WORK ENVIRONMENT & PHYSICAL DEMANDS
Because of COVID-19, state and local government stay at home orders, phased reopening orders, and other factors limit For Our Future’s canvassing program. When these limits apply, your work environment will likely be your domicile (teleworking) or a socially-distanced office. Employees may be required to work and interact, in an office environment or otherwise, with coworkers, volunteers, voters, or community partners periodically.
EXPECTED HOURS OF WORK
Normal hours of business are from 9:00 AM to 6:00 PM Monday thru Friday, however employees will be required to work outside of normal business hours including weekends and nights especially in the lead up to election days.
Employees may be required to abide by certain blackout dates during a campaign cycle or other key deadlines, and generally not allowed to take more than 2-3 days off consecutively during blackout periods. Emergencies are not affected by this policy.
