Summary Position Statement
Under the general supervision of the Director of Hospitality, the Group Sales and Tourism Administrator serves as an ambassador, advocate, and primary contact for the tourism market. As one of the major tourist attractions in the state and region, the Anchorage Museum welcomes tens of thousands of visitors from out of state annually. The Museum strives to be a welcoming and informative destination and presents a relevant vibrant perspective of Alaska both people and place. This position supports the Museum by serving as the primary staff person responsible for the inputting of group tours and reservation counts into the Museum point of sale (POS) system and coordinating the daily operations of the group sales program, in conjunction with maintaining the private docent tour program and ensuring tour group satisfaction.
The position also assists with general Visitor Services operations, tours, special events, membership events, seasonal events, and other bookings, and working cross-departmentally to coordinate special events.
Essential Functions
- Schedule and monitor leads for Group Sales for both new and returning contracts
- Coordinate and process booking orders, secure deposits and payments for group ticket sales, group tours, and VIP tour reservations
- Assure availability of private guides for all groups requesting a guided tour
- Arrange VIP tours with approved staff and designated guides
- Participate in related sales activities, Familiarization (FAM) events, and programs
- Coordinate with Visitor Services, Restaurant/Catering, Programs, and other departments and staff to schedule and confirm Group Sales reservations and tour requirements
- Be familiar with the Museum's mission, goals, exhibitions, and narratives for talking with the public and with clients and provide tours when needed
- Assist with coordinating and hosting touring guests, special events, major rentals, and community-wide event
- Supervise assigned volunteers and outside vendors
Non-Essential Functions
- Maintain database and track Group Sales leads, inquiries, lost business, and sales revenue, and provide ongoing status reports as needed
- Assist with all Visitor Service functions as needed
- Train Front-of-House staff on duties related to group sales/tours
- Assist with all Museum Gift Shop functions as needed
- Perform other duties as assigned

Qualifications
- High school diploma/GED required
- Two years experience with group sales administration, customer service, or tourism experience
