Full Description
- Implement in-depth knowledge of complex records management software to process record center services and monitor inventory tracking of the State Record Center.
- Oversee the management of the internal records that are created as part of the operational needs of the State Record Center, such as delivery sheets, vehicle logs and service request documentation.
- Ingest initial record transfers and process outgoing inventory, including the database management, inventory validation and internal recordkeeping required to complete the process, while verifying the compliance of the laws, policies and procedures that govern the State Record Center.
- Carryout the intricate process of data imports, multi-agency database inquiries and generating a multitude of detailed system reports.
- Contribute to the secure storage and efficient retrieval of confidential records.
- Apply good knowledge of records management best practices in daily work.
- Technical support (20%): Provide customer service to state agency record managers and other record center customers by responding to inquiries, providing technical assistance with the records management software, and explaining policies, rules and regulations.
- Compile and analyze fees generated by service requests for the State Record Center’s cost-recovery program.
- Provide a high level of technical support to the Records Management Supervisor in daily operations, outreach opportunities and records management software end-user assistance.
- Assist the Record Technician, as needed, with inventory requests, daily deliveries and other duties as assigned.
- Regularly use Microsoft Office programs and incorporate other typical office environment resources into daily responsibilities.
- Provides support to the agency through participation on records team.
- Performs other duties as assigned.
Experience: monitoring a records system to identify and correct errors; researching a variety of sources to resolve problems; interpreting, explaining and applying regulations, laws, or complex policies to carry out assignments; entering and retrieving data using a computerized records system.
