Job Description
Definition:
Under general supervision, performs administrative duties of a varied nature requiring intermediate to advanced knowledge of medical terminology and use of some independent judgment in the application of basic agency policies.
Examples of Work Performed:
- Assists Records Manager with record requests, scanning, organizing, updating, and maintaining the case records of the Central Office. Duties include maintaining detailed documentation as well as compiling and collating all components of the individual case file.
- Assists in agency’s record of receipts for incoming payments for cremation permits, autopsy services, sales of medical examiner reports and other types of receipts.
- Serve as backup for the Family Assistance Coordinator.
- Gather information from investigators and pathologist in reference to the cause of death, type of injuries and what information may be released to families.
- Contact family members as requested by pathologist to gather pertinent information in relation to the death and directly after the autopsy with results of the gross examination.
- Keep case files updated with documentation of case progress, telephone conversations, conferences, and case disposition while maintaining communication with appropriate district attorney and police departments.
- Responsible for providing Crime Victim resources to families of all cases of victims of violent crimes and remaining a source of information and support, for as long as necessary after the death.
- Coordinate court appearances for Pathologists and other agency personnel to include accepting subpoenas, keeping court calendars, handling and answering questions concerning court orders, copying related case materials, and acting as liaison between agency personnel and attorneys.
- Quality Assurance review and correction to ME cases before case is completed and review, correction, and calculation of data for yearly annual reports.
- Participate in the receptionist relief pool for breaks, lunch periods and days off.
- Performs other duties as assigned by the Chief Medical Examiner.
Knowledge and skills:
Applicant must possess strong, accurate skills with spelling, punctuation, proper use of the English language, and mathematics. Knowledge of medical terminology and the ability to present clear and accurate written and oral reports is an absolute must. Additional knowledge of general disease processes is desirable. Ability to represent the agency in a professional manner with integrity and exhibit good people skills. Employees must possess and maintain mental stamina to perform the work and willingness to accept the mental discomforts inherent in the work, pass a rigid character and background investigation, be at least 21 years of age, and possess a valid Oklahoma Driver’s License and social security card or work visa.
Knowledge and experience with Microsoft Office and fileservers and/or network helpful. Applicants must be able to deal tactfully and professionally with the public as well as handle confidential work with tact and discretion. The job requires extreme levels of attention to details.
Education and Experience:
Education and experience requirements at this level consist of a bachelor's degree and five years of professional or technical administrative* experience in business or public administration; or an equivalent combination of education and experience, substituting one year of qualifying experience for each year of the required education or may be made at the discretion of the Chief Medical Examiner.
