Title: Special Events and Wedding Coordinator

Reports to: General Manager

Position Overview: The Special Events and Wedding Coordinator will work with all “Front of House” aspects of the Farm kitchen and events. This position is responsible for ensuring exceptional experiences for Beach Plum Farm guests and takes an active role in coordination as a consistent presence during daily operations .

Duties & Responsibilities:

  • Farm to table dinner planning, design and production while managing all project delivery elements within time limits.
  • Liaise with clients to determine their needs and ensure customer satisfaction. Gather information, and negotiate contracts before closing on any sale.

  • Organize and manage all facility details, such as decor, food/meal, entertainment, transportation options, location, invitee list, special guests, equipment, promotional materials etc.
  • Creating and communicating a good image to our guests, as well as our employees.
  • Organize and lead brainstorming sessions.
  • Ensure compliance with insurance, legal, health and safety obligations.
  • Ordering, arranging and taking inventory of all alcohol consumed for special events is permitted.
  • Applying and upgrading the AB profile for special events or holidays.
  • Placing orders with local vendors and planning arrival times/dates to ensure order arrives in a timely manner.
  • In TIPS, trainees learn how to properly serve and manage alcoholic beverages.
  • Coordinate with marketing and PF to promote and publicize event. )
  • Proactively handle any arising issues and troubleshoot any emerging problems on the event day.
  • Conduct pre- and post-event evaluations and report on outcomes.
  • Handling initial responses to event inquiries and reservations questions.
  • Working daily in conjunction with the Cottage department to manage front desk and managing phones, providing concierge services for guests etc.).
  • Collaborating, pricing and designing adult programs with partners.
  • The program promotes and coordinates programs to publicize existing programs.
  • Selling, arranging and facilitating all types of weddings and special events.
  • Planning, arranging, styling and facilitating company meetings and events.
  • Maintain complete knowledge of all departmental policy/service procedures, including hiring.
  • At all times, maintain positive guest relations.
  • At all times, he must possess professional competence and uphold the standards of the company.
  • Other duties as assigned.


Event Types:

  • Weddings, bridal showers, baby showers and special birthday parties, farm to table dinners, etc.
  • Private cottage gatherings, corporate events, and business retreats.
  • Collaborating on projects/programmes for guests staying at Beach Plum Farm (i.e., Rooted, cocktail classes and wreath making classes):


Minimum Qualifications:

  • High school or equivalent education required, bachelor's degree preferred.
  • One to two years of event planning/coordination, preferred, prior hospitality experience.
  • All employees must maintain a clean, neat and well-groomed appearance at all times.
