Job Summary

To preserve the integrity of police records by ensuring compliance with the Texas Public Information Act, the Texas State Library's retention schedule, and all other applicable federal, state and local statutes; retrieves/directs telephone calls in response to requests for public information; performs data entry, review and maintenance, conducts searches of departmental records as required, trains other staff as necessary, and supervises the records unit functions and staff. Conducts complex interpretation of statutes and legal decisions related to the Records Management process?

Primary Duties and Responsibilities

The following duties ARE NOTintended to serve as a comprehensive list of all duties performed by all employees in this classification, only a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.

  • ) Performs complex interpretation of the Texas Public Information Law, The Texas State Library Retention Schedule, and other statutes and policy related to departmental records. )
  • Responds to, and supervises, complex requests for public information.
  • Performs, supervises and/or helps with records retention activities.
  • Engages in outstanding customer service by greeting callers and visitors, helping callers and tourists to obtain appropriate services and information, and reaching out to appropriate departments.
  • The review of submitted records and documents for accuracy, review of records against public information and exceptions for dissemination via internet sites.
  • The agency conducts local criminal records searches in response to public information requests, and performs criminal history research as required for departmental utilization.
  • Generates general cost estimates in response to large public information requests, and performs other duties.
  • Under a deadline, manages multiple tasks and projects simultaneously.
  • The department responds to questions from the public, employees, records clerks, other agencies and city departments.
  • DIRECTS and plans the activities of the records unit, Analyzes records unit needs/problems. Reacts to those needs.
  • Supervises and develops personnel to include scheduling, training, performance evaluations and disciplinary actions.
  • The company coordinates responses to subpoenas for records and produces files as required.
  • Up to date training and knowledge of the Texas Public Information Law, The Texas State Library's retention schedule, and related statutes.
  • As requested, attend and participate in professional group meetings.
  • Assists in the annual implementation of the Records Unit goals and objectives.
  • Performs other duties as assigned or required. )

Education, Experience, and Certifications.

Education and Experience:
Five (5) years of records management experience with two (2) years of supervisory experience required OR an equivalent combination of education and experience Demonstration or testing of skills may be required.

Required Licenses or Certifications:

  • Texas driver's license must be valid. Can anyone tell me the proof?

Knowledge needs, skills and other requirements. Please provide details?

  • The operating office equipment includes, but is not limited to: multi line phone with voicemail, cash register, scanner, fax, copier, printer, shredder and laminator.
  • Performing a variety of clerical duties, including but not limited to composing correspondence and legal documents, mailing, faxing, scanning and filing. )
  • Finding and completing information by accessing multiple logs, records, and databases.
  • Microsoft Office Suites [Word, PowerPoint and Excel] (2016).
  • Investigation techniques and proper report writing.
  • Dispute/conflict resolution/mediation techniques.
  • Adequate reading comprehension and reasoning ability to interpret statutes and other legal documents.
  • English grammar, composition, spelling, and punctuation.
  • Adequate written communication skills and the ability to reason are necessary to draft legal correspondence.

Work environment: Physical demands/work environment:
  • Working conditions are in an office environment, subject to sitting, standing and bending for extended periods of time. The workers must be able to safely pull, push and carry items weighing up to 40 pounds.
  • Emergency personnel may be required to work immediately before, during or after an emergency.
