Position Overview
Illinois River Correctional Center is seeking an organized and detail-oriented candidate to join the Business Office team as the Office Coordinator. As the office coordinator, this candidate will act as a secretary and be responsible for tasks such as creating and maintaining reports, filing, and scheduling maintenance of office equipment. Job Responsibilities
- As an administrative secretary, conducts special projects and studies by gather data, coordinating, monitoring, and completing assigned projects.
- As a secretary, takes and transcribes handwritten, hard copy, material including confidential matters.
- Answers telephone for institutional and outside calls for Business Administrator.
- Maintains files of Departmental Rules, Administrative Directives, Business Procedures and Institutional Directives advising Business Administrator of changes.
- Coordinates and maintains Fiscal and Business Management Procedural Manual.
- Keyboards a variety of correspondence, reports or other information from handwritten or hard copy, prerecorded or voice dictation.
- Serves as back-up to Workers Compensation Coordinator.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to two (2) years of secretarial/business college, or completion of high school and two (2) years of related office experience, or two (2) years of independent business experience.
- Requires the ability to keyboard accurately at 30 wpm.
Preferred Qualifications (In Order of Significance)
- Prefers at least two (2) years of experience gathering data to complete projects in a work setting.
- Prefers at least two (2) years of experience interpreting and preparing reports.
- Prefers at least two (2) years of experience scheduling meetings, preparing agendas, and keyboarding meeting minutes.
- Prefers at least one (1) year of experience screening and forwarding phone calls.
- Prefers at least one (1) year of experience preparing and proofreading written correspondence.
- Prefers at least one (1) year of experience handling confidential information.
- Prefers at least one (1) year of experience creating, maintaining, and filing documents and reports.
Conditions of Employment
- Requires ability to pass the IDOC/IDJJ background check.
- Requires ability to pass a drug screen. On January 1, 2020, the Cannabis Regulation and Tax Act made it legal for residents over the age of 21 to produce, consume and sell cannabis in Illinois. Please note that although the law has changed, the Department will continue to enforce the Department’s zero tolerance Drug Testing policy.
