Position Overview

The Illinois Department of Corrections is looking for a candidate to serve as a human resources associate, who has excellent organizational skills and shows great attention to detail. This position maintains personnel files, prepares personnel transactions and documents while verifying compliance with Personnel Code, Rules, Pay Plan, Collective Bargaining Agreements and Agency policy. Responsibilities also include compiling information and data for statistical purposes and producing monthly reports, as well as performing day-to-day operations of the office.

Job Responsibilities

1. Receives, logs, prepares and transmits personnel transactions for CMS-2.

2. Creates and maintains worker compensation files. )

3. Prepares all group insurance transactions for submission to the IDOC central office by December 3.

4. Maintains CMS 104 (position description) files.

Keyboards and correspondence in response to employee inquiries regarding personnel processes and procedures. '

No. 6 serves as a back up to Signature Data Retention Coordinator.

Establishes and maintains an electronic database of personal information.

8. Serves as receptionist.

9. Serves as a limited English proficiency (LEP) coordinator.

10. Performs other duties as required or assigned, which are reasonably within the scope of the duties listed above.


Minimum Qualifications

1. Requires knowledge, skill, and mental development equivalent to completion of two (2) years of college, or satisfactory completion of an approved training program.
2. Requires ability to keyboard accurately at 30 words per minute.

What are the preferred qualifications in order of significance?

At least two (2) years of experience working with personal papers is required.

2. Prefers at least two (2) years of experience computing continuous service dates, seniority dates and creditable service dates.
3. Prefers at least two (2) years of experience creating and maintaining Worker’s Compensation files.
4. Prefers at least two (2) years of experience processing Group Insurance transactions.
5. Prefers at least one (1) year of experience maintaining job descriptions.
6. Prefers at least one (1) year of experience applying human resources programs, rules, and regulations.
7. Prefers at least one (1) year of experience preparing documents while applying correct composition, grammar, spelling, and punctuation.
8. Prefers at least one (1) year of experience following office practices and procedures.
9. Prefers at least one (1) year of experience utilizing commonly used manual and automated office equipment, systems and software and performing routine maintenance.


Conditions of Employment

1. Requires ability to pass the IDOC/IDJJ background check.
2. Requires ability to pass a drug screen. On January 1, 2020, the Cannabis Regulation and Tax Act made it legal for residents over the age of 21 to produce, consume and sell cannabis in Illinois. Please note that although the law has changed, the Department will continue to enforce the Department’s zero tolerance Drug Testing policy. The use of unauthorized drugs, including cannabis, by an employee, regardless of the position held is prohibited.
