Summary
The executive assistant provides administrative support to the president, handles confidential reports, manages academic documents, prepares minutes and memos, and performs administrative work requiring excellent organization skills, discretion, general business practices and professionalism.
Essential Duties and Responsibilities
- Administrative support:
- Provide administrative support, such as writing and editing emails, drafting memos and preparing communications on the executive's behalf.
- Keep confidentiality in all aspects of the position, including but not limited to processing incoming and outgoing correspondence.
- Keep complete and accurate records. . .
- Manage the executive's schedule, including scheduling meetings and setting up meetings. prioritize sensitive matters in particular."
- Accurately record minutes and distribute them in the required timeframe.
- Professionally managing the office, interpreting and answering general policy questions and demonstrating sound judgment and discretion.
- Communicate professionally with accurate information, instructions, and messages to others.
- Keep a high degree of knowledge regarding the protocol when hosting visitors.
- In an organized system, file and maintain electronic data and paper materials.
- Answer telephone calls promptly and greet visitors in a professional manner.
- Coordinate data collection and generate reports:
- Research, collect and analyze data thoroughly.
- Prepare, compile and distribute reports in a timely manner.
- Design and organize report formats to ensure readability and clarity.
- Other duties and special projects as assigned.
