New Hampshire's Bureau of Mental Health Services has a full-time vacancy for an administrative secretary. )
Supervises secretarial support activities for the Bureau of Mental Health Services (BMHS) and the Board of Directors of the Board of Trustees to ensure administrative operations and functions are performed on time, accurately, and efficiently. Acts as the sole administrative assistant to the BMHS and Board of Directors and also performs administrative support activities for other areas assigned. *

MINIMUM QUALIFICATIONS:
Education: Associate's degree from a recognized college or two years of college with a major study in secretarial science, business administration or computer science.
Experience: Two years' experience in a secretarial position involving supervisory, office management or administrative support experience. Each additional year of approved work experience may be substituted for one year of required formal education.
License/Certification: None required.
Responsibilities:
Provides office management activities for the BMHS and BCBH administrative offices, directors and staff; coordinates IT help requests; coordinates requests for facilities. Provides direct support for the MDHL director and staff including scheduling appointments and meetings. ) Managing correspondence:
Administrative support for the BMHS team meetings, CMHC Executive Board meetings and other groups including preparing agendas, taking/distributing minutes, processing invoices and stipends; preparation of materials including brochures, welcome packets and correspondence. Tracking of expenses.
): Describes and composes a variety of correspondence, reports, charts, and other documents for distribution to BMHS/BCBH staff in the use of office software and formatting of documents. Provides technical assistance to program staff with ad hoc tracking tools. :
Manages the BMHS main in-house phone system, receiving calls and answering routine questions and requests for information. Assesses need for referral to other resources such as a local mental health center and/or refers callers to the appropriate BMHS staff person within DHHS.
Coordinates the supply order process for BMHS/BCBH and other program areas, coordinating with financial staff to ensure accurate documentation is maintained.
Organizes and coordinates the preparation of materials, documents, and brochures for conferences and other events. Coordinates conference registration and provides on-site administrative support at conferences or workshops.
Maintains the BMHS/BCBH administrative office filing system, including preparation of new hire packets, ensuring appropriate forms are used and completed accurately before returning to Human Resources.
Coordinates the main building room reservation system for the Department and outside users, including troubleshooting issues of availability, equipment and other logistic problems with responsibility for solving quickly and effectively.
Establishes and coordinates business process and work flow to ensure the administrative functions of the Bureau are completed efficiently and effectively.
