Job Description

The Iowa Department of Health and Human Services (HHS) is seeking an Administrative Assistant 2 to join the team at the Glenwood Resource Center (GRC). This is a full-time position with a Monday-Friday, 8 a.m.-4:30 p.m. schedule and opportunity for advancement, growth, and development. Additional hours might be required to meet business demands.

Employees are eligible for a $1,500 retention payment for a commitment of 7 pay periods (14 weeks) and are eligible for renewal at the end of each 7 pay periods until the facility closes. Speak to the hiring manager for more information on eligibility.

The Administrative Assistant 2 (AA2) functions as Records Management Director of GRC, coordinating all aspects of the client medical record system. The AA2 provides Health Information Management functional and technical leadership for the facility by providing recommendations on Records Management and HIPAA issues. This position coordinates and evaluates Records Management (RM) services, refines the RM program as needed and resolves problems affecting RM by working with individuals inside and outside the facility.

Some responsibilities include:


  • All departments are in compliance with established standards, he said.
  • I chair the Medical Records Committee and the HHS Facilities Committee.
  • Ensure facility-wide communication and training regarding medical records.
  • Obtain statistical data for the GRC, making special reports as required.
  • Provide guidance about tasks and policies, and distribute and balance workload. '
  • Review significant information releases to ensure accuracy and compliance.
  • Maintain and coordinate all registration activities at the GRC.
  • Perform periodic information security risk assessment.
  • Develop new or revised procedures, forms, manuals and other tools.
  • Investigate consumer complaints/inquiries and draft technical position statements related to HIPAA.
  • Monitor the compliance of all trade partners and business associates.
  • Promote activities to promote information and privacy awareness.

Minimum Qualification Requirements

At least one of the following minimum requirements must meet to qualify for positions in this job classification:

  • Graduation from an accredited four-year college or university with a bachelor's degree in any field, and experience equal to one full-time administrative support (e.g., screening visitors and callers, sorting mail; arranging travel claims, processing supplies/equipment) or technical support work; completing data entry, writing letters, and sending reports for the program. Compliance with laws?
  • A total of five years of education and/or full-time experience (as described in number 10) whereby thirty hours are assigned to college or university course work, one year equals a complete year.
  • Current, continuous experience in the executive branch that includes at least 12 months of full-time work as an administrative assistant. '
