Full Description
Under close supervision, performs clerical and public contact work.
EXAMPLES OF THE WORK (These statements are intended to be illustrations of the work of this class).
Manages appointments for multiple providers and services at multiple locations.
Answers, screens, and processes medical service requests.
Discusses with on-site personnel whether patients can be added to the same-day schedule.
Collects minimal patient demographic information and enters into the Practice Management System (PMS).
Refers patients to FHC nursing team for triage and medical services.
Schedules appointments using the PMS.
Enters and verifies insurance for patients who are scheduled for health care services.
Identifies new patients and documents their full demographic information in the PMS before the appointment date.
Provides coverage as needed for the call center via scheduling adjustments for unexpected absences, events, or call volume variances.
Identifies patients with Limited English Proficiency (LEP) and/or other communication barriers and uses the appropriate interpretative services.
Documents as appropriate on the medical record, forms, and/or computer the required documentation related to interpretative services.
Adheres to standard safety and infection control precautions.
Performs related work as required.
Processes requests and closes and follows up on referral orders in the PMS, as needed.
Assists FHC Patient Access Manager I with the training and coaching of all FHC Patient Access Specialists and other personnel, as needed.
Serves as needed in many areas of the site, including but not limited to Front Desk Registration, Referrals, and Encounter Reconciliation.
Manages Extended Hours Schedule for a single FHC location.
Prepares site deposits, runs daily reports, and forwards them to FHC Patient Access Manager I for approval.
Orders office supplies.
Serves as the FHC Patient Access Manager I in the FHC Patient Access Manager I’s absence.
Assists FHC Patient Access Manager I with reviewing and approving timecards when necessary and creating staff meeting agendas.
Assists FHC Patient Access Manager I with developing and implementing new processes.
Provides input for personnel performance reviews.
MINIMUM REQUIREMENTS
Must be a current regular employee of Family Health Centers.
High school graduation or its equivalent.
Two years of experience as an FHC Patient Access Specialist, which must include experience with referrals and patient registration.
An equivalent combination of training and experience may be substituted, as determined applicable by Civil Service.
PHYSICAL REQUIREMENTS AND WORKING CONDITIONS
Responds to patient and FHC needs via telephone, internet, fax, computer software, and in person.
Lifts and carries materials weighing up to 15 lbs., with or without assistance.
Spends extended periods of time sitting and reaching.
Spends extended periods of time typing and reading computer screens.
SPECIAL REQUIREMENTS
Must be available to work additional hours, such as before or after regularly scheduled hours or additional days, as necessary.
Must provide own transportation to work at other FHC locations as needed on short notice.
