JOB DESCRIPTION: PATIENT SERVICES REPRESENTATIVE
SUMMARY:
Primary responsibility includes providing quality customer service and preparing documents to ensure the smooth and professional processing of BWEYE patients.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Patient Relations
- Maintain a cordial and professional attitude when greeting or interacting with patients. Confirm name, current address, date of birth, and current insurance(s) for all patients.
- Ensure that all new patients complete the Patient Information Form, rendering assistance as necessary and provide them with a welcome letter.
- Ensure that all charts contain a completed information form and copies of insurance cards.
Address any and all patient questions/concerns in a sincere, helpful manner. Always advise arriving patients of any delays that might be expected.
General Administrative
- Make certain that charts are maintained in a standardized order .
- Enter all patient’s vital information into the computer, as required.
- Collect all fees due at time of visit.
- Notify patients when a referral is necessary.
- Assigned as the Tuesday “late evening” person
- Back up for Consultant Letters and Record Requests.
- Participate in maintaining a neat and orderly atmosphere in the patient reception/waiting area.
- Perform daily House Calls.
- Back up for appointment reminder postcards as necessary.
- Primary responsibility for the physicians appointment schedule.
- Alternate “Back-up” for Insurance/Referral Coordinator responsible for receipts collected and posted at the Front Desk; to include balancing all monies, checks and credit cards at the close of business.
- Verify the accuracy of all patient demographic information to include insurance information for clinical services.
- Perform other duties as assigned
Telephone
- Promptly respond to incoming calls. Address the caller’s concerns and direct phone calls to staff members as appropriate.
- Personally handle, or direct to other staff members, all phone calls aimed at the physician that do not require his or her personal attention.
- Ensure that phone calls from other doctors are put through to the staff physician being called; making certain that the patient’s record is available to them as soon as the call is taken.
- Assure that staff members receive detailed, prompt messages when unavailable to the caller.
- Assist with (House Calls) confirming appointments two days in advance of scheduled appointment date.
- Recalling patient’s that have no showed an appointment within 2 business days.
Scheduling
- Schedule and reschedule patient appointments with the coordination of the physician’s schedules, including visiting physicians.
- Offer patients a choice of appropriate appointments that address their specific needs.
- Maintain a list of patients available on short notice to fill an appointment cancellation.
- Use sound judgment in scheduling patients according to the availability of staff and physicians in order to provide quality care to the patients.
- Determine when an emergency situation exits and immediately bring it to the attention of appropriate personnel.
- As appropriate, ensure that new patients receive a welcome letter and information packet.
QUALIFICATIONS:
Possess the professional and technical skills necessary to successfully interact with patients as well as the administrative staff in addressing all patient’s needs. Requiring the ability to remain composed under stressful situations. Computer literate.
EDUCATION/EXPERIENCE:
High School Diploma required.
PHYSICAL DEMANDS:
Moderate lifting, reaching, and bending may be required.
