Position Summary:
KABOOM!’s CEO is looking for a highly motivated, innovative and adaptable Special Assistant. Working both frontline and behind the scenes, you will make a significant impact on the office of the CEO and both internal and external shareholders. You will be the gate keeper and right hand to the CEO. It will take a highly organized, self-motivated, experienced and confident individual who is not only dedicated to the work of the office of CEO, but also has a strong commitment to Diversity, Equity, and Inclusion. You will be the first point of contact for all internal and external communications and must be able to make decisions without needing constant approval and represent KABOOM! well with high-level individuals from the public, private, nonprofit, and philanthropic sectors. Confidentiality is a must along with outstanding time management skills, a proven ability to multi-task, and the ability to change priorities in an effective and timely manner.
Duties and Responsibilities:
- Own administrative tasks associated with the smooth execution of the annual schedule for National Board and Executive Committee meetings: including preparing materials, locations, accommodations, restaurants and anticipated budgets. Coordinate and mail agenda materials.
- As the National Board Recording Secretary, you will record, distribute and file accurate minutes and follow up actions through to completion. Manages logistical details of accessible materials, accommodations, meals and transportation. Ensures procedural compliance to by-laws.
- Read and analyze incoming memos, e-mails, submissions, reports and etc., including confidential information to determine their significance and required action. Address or distribute as appropriate and follow up to ensure timely and appropriate responses.
- Develop an understanding of the voice of the CEO and represent the CEO’s voice in the development of internal and external messages including production of communications, presentations, and reports distributed by or on behalf of the CEO.
- Lead the development and draft content for The Sandbox, a monthly newsletter published by the CEO and sent to a select group of supporters and leaders.
- Ensure CEO always has all materials needed for key meetings well in advance and help ensure other participants are aware of and prepared for meetings.
- Provide guidance to Senior Leadership Team members on matters that require feedback from the CEO; use discretion in diverting matters not requiring the CEOs involvement.
- Develop and manage a system to organize OCEO, ensuring all external meetings are followed up on and documented in Salesforce.
- Coordinate with the Executive Administrator to schedule meetings, appointments and travel as needed.
- Prioritize external communications & outreach needing focus and attention of CEO.
- Conduct research, manage projects, lead and/or participate in internal and external special projects for CEO as needed.
- Merge CEO vision with annual strategic and operational plans, ensuring there is alignment between OCEO and the rest of the organization.
Education and Experience Required:
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Excellent verbal, written, and communication skills and to effectively communicate whether to a group or one on one.
- Strong interpersonal skills and the ability to build relationships with internal and external stakeholders.
- Highly resourceful team player with the ability to also be extremely effective independently.
- Demonstrate proactive approach to problem solving with strong decision-making capability.
- Ability to learn processes quickly and efficiently.
- Ability to understand and communicate organizational strategy effectively.
- Ability to be self-motivated and results-focused, actively seeking opportunities and proposing solutions.
- Proficient in Salesforce, Monday.com, Microsoft Office (Outlook, Word, Excel, and Power Point) and social media platforms.
- Bachelor's degree (preferably in business management, communications, marketing, or similar discipline) or 3-5 years of executive level administrative and project management support experience.
- Experience supporting CEOs or executive or legislative branch principals a plus.

Salary: $85,000.00-$95,000.00 (depending on experience)
