Full Description
Reporting to the Chief Development Officer, the Development Coordinator is primarily responsible for the overall administrative, database management, including data entry, and event, annual giving and project support for the Maui Health Foundation. The Development Coordinator works with the Foundation staff, employees, volunteers and members of the Board to develop an annual schedule of fundraising opportunities that will raise a significant amount of funds.
Essential Responsibilities:
Responsible of all donor information in the fundraising database system assuring accuracy of all donations, changes and deletions. Including daily gift processing and acknowledgement and preparation of reports. Responsible for producing thank you acknowledgements for all gifts.
Develops private grant proposals for community health programs and capital projects.
Identifies corporations and foundations for funding opportunities and partner with other fundraising staff in the cultivation and solicitation of these prospects.
Manages and creates social media content and posts for the Foundation.
Serves as receptionist and records, prioritizes and follows-up on all incoming calls and routes calls/messages to appropriate personnel. Sorts mail as necessary.
Performs office management, , word processing, supply ordering and filing. Prepares routine reports, records, presentations and corresponddence using computer word processing software. Prepares database reports as requested by Foundation management.
Helps manage the Hospital HUI program, collaborates with Foundation and Hospital colleagues to enhance our HUI program and steward and cultivate our HUI members.
Board Management: Assists with the coordination of Board meetings and prepares materials. Attends meetings and participates on committees, as required. Records and summarizes meeting minutes and distributes to appropriate parties. Serves as the driver for committee assignments to be completed.
Assist in writing and proofreading fundraising and donor stewardship materials such as letters, thank you cards, impact reports, presentations materials and other reports.
Ensures comprehensive and organized files are maintained on major donor prospects and establish procedures for updating an assuring accuracy. Provides data support for major gifts solicitation for capital campaigns, integrating information contained in donor database and moves management database.
Coordinates meetings and prepares material. Attends meetings and participates on committee, as required. Records and summarizes meeting minutes and distributes to appropriate parties. Handle all logistical and technical needs, Maintain a comprehensive calendar with all Foundation campaigns, including deadlines and special events.
Manages details of stewardship and fundraising events by taking reservations, creating lists, handling money and attending events when necessary. Invoicing and follow up for outstanding ticket sales, silent/live auction items and fund a need. Organizes auction procurement efforts, working closely with committees and board members, and prepare auction materials for events. Helps secure sponsorships and auction items.
Helps manage alongside of Development Manager a comprehensive Annual Giving campaign raising significant funds annually for Maui Health Foundation via robust programs including but not limited to: direct maildonor club, donor wall, grateful patient, planned giving and employee campaign.
Provides clerical support to Foundation Chief Development Officer and Development Managers.
Conducts research on major donor prospects (individuals, private foundations, and corporations) including: financial information, data relating to the prospects history and priorities, history and current status of prospects relationship with Maui Health, names of persons who may know and have relationship with the prospect, collect and organize source documents and supporting materials, including online resources.
Makes thank you calls to donors within 48 hours of receipt of gift. Manages Birthday Cards and other forms of donor stewardship.
Updates donor recognition on a regular basis and maintains donor walls.
Makes daily deposit for the Foundation.
Provides excellent customer service, anticipating and exceeding the needs of our donors and prospects
Performs other duties as assigned.
Basic Qualifications:
Experience
Minimum of five (5) years of experience in administrative support and/or data processing.
Education
Associated degree OR two (2) years of equivalent experience.
High School diploma or GED.
License, Certification, Registration

Proficiency and experience with information technology and basic accounting principles.

Must possess knowledge of fundraising principles and practices and maintain a professional, polished demeanor.

Must be able to work an irregular schedule, evenings or Saturday as needed, additional hours during peak times or as required.
Preferred Qualifications:
Previous experience with grant writing and developing grant proposals.
