POSITION DESCRIPTION

Required:
- Understanding of student information systems; knowledge of, and experience with, academic support applications
- Knowledge of current records, registration, and enrollment policies and processes and academic policy trends
Preferred:
- Minimum of three years' experience in a college or university registrar's office, or equivalent experience
- Demonstrated data management skills and knowledge of privacy and confidentiality rules as they relate to student information.
- Experience with academic advising, onboarding of new students and diverse student populations
- Demonstrated experience creating reports, queries, and documentation utilizing reporting tools
Knowledge, Skills, Abilities
- Good interpersonal skills resulting in ability to work cooperatively with various constituencies across the University and partner institutions
- Strong written and verbal communication skills and ability to translate technical information to a variety of stakeholders
- Strong organizational skills and ability to operate well with uncertainty
Position Summary
The Student Records Coordinator position is primarily responsible for coordinating various activities and functions critical to producing reliable and accurate student records for Duke and Duke Kunshan University academic programs. This position is responsible for managing related admissions, transfer credit, degree audit, transcripts, and degree conferral processes. The person staffing this position should be knowledgeable about academic policies, academic records procedures, data structures and related processes, credit transfer policies and practices, and the Family Educational Rights & Privacy Act (FERPA).
Responsibilities Include (but are not limited to)
Data Management and Reporting
- Manage and coordinate activities involved in the maintenance of academic records; review records to ensure completeness, accuracy, and adherence to University standards for special degree programs.
- Evaluate data requests to identify business requirements and priority while determining alignment with policies, procedures, and standards.
- Develop queries and reports to support the operational functions of the University community and external users.
- Test and assess the accuracy of the data structure and processes that support the transfer of academic record information between Duke and Duke Kunshan University.
- Coordinate and conduct activities and functions critical to producing reliable and accurate records, serving as information resource, processing credit related procedures, report processes and data validation.
- Develop, conduct and analyze audit reports to ensure processes sustain data integrity and apply controls to safeguard accuracy of data in the creation and maintenance of academic records.
- Ensure compliance with established practices and keep support staff informed of current changes and standards. Interpret registration policies for students, faculty, and staff.
- Assist in facilitating the student registration processes including setup, implementation, troubleshooting and overall coordination of student registration processes and procedures.
Degree Audit and Curriculum Management
- Assist in planning, development, implementation, documentation, and maintenance of the dual-degree degree audits.
- Conduct training sessions for relevant University employees involved in supporting Duke-DKU dual-degree student degree progress.
- Prepare appropriate materials to promote the degree audit system to faculty, staff, and students.
- Work with academic personnel to ensure accuracy of requirements and core curriculum data and assist in the resolution of degree audit issues.
Business Process Management and Communications
- Continuously assess and evaluate business processes and functionality to promote efficiency.
- Maintain contact with other records offices at Duke to establish strong communication channels, train staff, facilitate the resolution of problems, and to ensure the conformity of student registration and record processes and procedures.
- Maintain contact with other areas involved in Duke Kunshan University at Duke record maintenance to facilitate the resolution of problems and to ensure the completeness and conformity of academic records.

Experience
Work requires a minimum of three years experience in administration of OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE student records or similar function at the college or university level.
