Clerk II

Serves as the program support technician and performs and provides clerical support to the Program Support Unit (PSU) staff in the Program Enrollment and Support Department. Duties include processing assignments in automated systems, processing mail, answering phone calls, maintaining unit records and reports for staff in automated systems, and entering fair hearing requests in TIERS, if applicable. Provides administrative support to the unit supervisor and staff. Serves as office receptionist by receiving visitors, answering phones and directing visitors to the appropriate location, as needed.


Essential Job Functions:
Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.

(10%) Prepares release packets, correspondence, reports, referrals, forms and documents necessary for the operation of the unit. (45%) Assigns and enters information and/ or referrals in automated systems to provide tasks to workers. (15%) Maintains assignment logs/rotation logs as needed. Communicates on an intermediate level with others (internally and externally) to provide, exchange, or verify information, answer inquiries, address issues, or resolve problems or complaints. (5%) Opens, date stamps, sorts and distributes mail. (5%) Provides assistance to others on policies, procedures, rules, regulation, standards, or requirements. (5%) Answers telephone calls. Refers callers to appropriate staff or resource. Composes messages and answers basic questions. (5%) Prepares and proofreads correspondence, forms, or other documents such as letters, memos, travel, and purchase vouchers for ordering on-line office supplies using a computer.
(5%) Maintains contact information for staff. (5%) Maintain records, files, or logs as appropriate including filing, retrieving, or purging.


Knowledge Skills Abilities:
Knowledge of managed care programs and procedures. Knowledge of operating computers. Knowledge of spelling, punctuation, grammar, and arithmetic. Knowledge of office practices and procedures. Skill in operating office equipment including computers, calculators, copiers, facsimile machines. Possesses the ability to organize and prioritize assignments to meet established time frames and deadlines. Ability to make minor decisions using agency rules and regulations and apply them to work problems. Ability to understand and follow oral and written instructions. Ability to maintain complex records and files. Ability to establish and maintain effective work relationships with others. Ability to answer telephone, refer callers to the appropriate staff or other community agencies, take messages for staff, and answers basic questions. Ability to assign referrals to workers. Ability to communicate with others (internally or externally) to provide, exchange, or verify information, answer inquiries, address issues, or resolve / report problems. Ability to open, date stamp, sort and distribute incoming and mail, reports, documents, or printouts. Ability to prepare and proofread correspondence, forms, or other documents such as letters, memos, and purchase vouchers for ordering on-line office supplies using a computer. Ability to prepare unit monthly reports and maintain records, files, or logs, including filing, retrieving, and purging. Ability to perform data entry in computer systems. Maintains a regular and predictable work schedule in accordance with agency leave policy and performs other duties assigned.

None


Initial Selection Criteria:
Preferred experience handling a high volume of assignments in a short period of time. Preferred knowledge of Medicaid managed care programs and operations or Long Term Service and Supports. Must have experience handling phone calls from the public and performing information and referrals to callers. Ability or experience with various types of computer equipment and software, including Excel, Outlook, Word, TIERS, HEART and SAS.

Telework opportunities are available in accordance with business needs. Position will be housed at 3625 W. Business 83, Harlingen, Texas.
