Position Summary & Responsibilities

Position Summary:

The primary duty of this position is to provide administrative to the Private Industries Division of Kansas Correctional Industries to include but not limited to communications with the public and state agency officials, compiling reports, numerous administrative duties for the Deputy Director and/or Director and filling open Private Industry jobs across the state.

Job Responsibilities may include but are not limited to the following:

  • Analyzes the daily needs of Private Industry partners and works with Unit Team Managers, Classifications Officers, and Counselors to facilitate resident interviews, moves, and Private Industry employment offers.
  • Facilitates hiring of qualified KDOC offenders by private industry partners.
  • Provides customer service through the development of written and electronic information.
  • Responds to customer requests for information and coordinates electronic and in-person meetings.
  • Maintains and develops correctional industries reports and reporting systems.
  • Prepares documents requiring use of advanced software features these includes integration of spreadsheets, macros, queries, charts, graphs, and tables from multiple databases.
  • Plans and coordinates KCI meetings as directed.

Provides diversified administrative support for Kansas Correctional Industries, including the preparation of various types of written correspondence, administrative reports, legal documents and various charts, graphs, and data sheets, some of which are of a sensitive and confidential nature. Maintains appointment schedules. Screens and refers calls. Assists Customer Service in answering calls, recording complaints, and taking messages. Makes travel arrangements and relays information and messages to management. Ensures completion of NCIA membership and various other renewals annually. Participates in the compiling and review process of documents for any new PIECP CAC packets, contract renewals, NCIA quarterly and yearly reports and maintains files.

Organizes and maintains Administrative Office files, with retrieval for all documents received or dispatched by PIECP Agreements & supporting Lansing Office. Maintains current (including updates and changes) file of departmental IMPPs, Regulations and KCI SOP’s. Provides information to staff on KCI policies and procedures. Works with and maintains various office machines in good working order. Contacts repair personnel and coordinates their efforts to assure a smooth flow in the office.

Receives, sorts, distributes and processes incoming and outgoing mail addressed to and from KCI office and LCF Divisions, when advised. Alerts the Director, Deputy Directors, and other staff to critical items. Responsible for the security and safety of inmates supervised. Assists with head counts, responsible for enforcing KDOC, KCI and facility security, safety and operational policies and regulations governing inmate behavior. Writes reports and conducts inspections required by IMPPs and General Orders.


Qualifications

  • Minimum Qualifications: Two years’ experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.

  • Preferred Qualifications:

    • Advanced user of Microsoft Word, Excel, Access, and PowerPoint.

    • Effective oral and written communication skills. Ability to understand, interpret and apply laws, policies and regulations.

    • Ability to work effectively with others in a diversified workforce.

    • Analytical and problem-solving skills.

    • Knowledge of production functions of goods and services is helpful, but not required.

  • Post-Offer, Pre-employment Requirements: Must take and pass a drug screening test approved by the Division of Personnel Services unless the incumbent is moving from one safety-sensitive position to another safety-sensitive position within the same agency performing substantially similar duties. May be required to pass a background check.
