Position Overview
The Division of Developmental Disabilities is seeking to hire an Administrative Assistant I located in Park Forest, Illinois to perform highly confidential administrative functions for the Region 1 Assistant Deputy Director of State Operated Developmental Centers (SODC’s). Coordinates, researches, develops and prepares special reports. Serves as confidential correspondence control manager. Assists in the coordination and control of activities and materials. Coordinates the workflow to and from the Regional Assistant Deputy Director’s office. Serves as a liaison between the Regional Assistant Deputy Director and Deputy Director’s Office and other operations and divisions of the Department of Human Services (DHS). Assists in handling inquiries received from agency staff and private vendors. Researches files, policies and contracts and reviews proposed policies and procedures for feasibility and possible implications. Provides input to the Regional Assistant Deputy Director regarding interpretation of fiscal policy rules, regulations and procedures.
Job Responsibilities
Performs highly confidential administrative functions for the Region 1 Assistant Deputy Director of State Operated Developmental Centers (SODC’s).
Serves as confidential correspondence control manager for the Regional Assistant Deputy Director.
Serves as a liaison between the Regional Assistant Deputy Director and Deputy Director’s Office and other operations and divisions of the Department of Human Services (DHS).
Plans Region meetings, takes meeting minutes and assists in establishment of agenda related to Region activities, researches and reserves sites for meetings.
Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
1. Requires knowledge, skill and mental development equivalent to completion of four years of college, preferably with courses in public or business administration.
2. Requires one year of professional experience in a public or private organization.
OR
completion of an agency approved professional management training program.
Preferred Qualifications
- Two (2) years of experience meeting deadlines with strong attention to detail while multi-tasking multiple projects.
- Two (2) years of experience working for a public or private organization maintaining confidentiality and handling sensitive information with professionalism.
- One (1) year of experience with personal computers and software, such as Microsoft Office, WebEx, etc.
- Two (2) years of experience conducting special projects which include evaluating existing and proposed programs, policies and procedures for a public or private organization.
- Two (2) years of experience communicating effectively with both internal and external officials, providers and/or the public in oral and written form.
- One (1) year of experience researching issues and concerns and preparation of reports and recommendations for policy and/or procedural changes.

Requires the ability to travel, in the performance of job duties.
Requires ability to pass the IDHS background check.
Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
Requires ability to meet all agency vaccine/health-related policies and guidance.
Work Hours: Mon-Fri, 8:30am - 5:00pm
