The Registrar provides oversight and direction to the staff of the Registrar’s Office. This position reports to the Vice Provost for Student Success and is accountable for the effective administration of academic services for all degree programs with specific responsibility to manage all registration services for undergraduate and graduate students, maintain master class schedules, coordinate room schedules and facilities for all academic programs, and oversee the management of student academic records, serving as the University’s official certifying officer. The incumbent has a critical role in assuring the continued development, maintenance, and optimal utilization of the Banner Student System. This position is also the certifying official for Bryant degrees that are awarded through our joint venture in China—Bryant University Zhuhai and serves as liaison to the Zhuhai campus Registrar.

The incumbent collaborates with colleagues on undergraduate and graduate catalogs, curriculum development and management, as well as university academic policies and procedures. This position serves as administrative liaison to faculty on all matters related to course offerings and faculty schedules. This position provides leadership and oversight for all graduate program admissions efforts, including the coordination of administrative and student services.

Principal Accountabilities
  • Supports the Deans and Department Chairs in developing a master schedule for undergraduate and graduate Fall and Spring semesters, and special sessions courses; and coordinates with faculty and Information Technology staff regarding appropriate classroom assignments and equipment.
  • Effectively plan, manage, and schedule all registration services, including registration, grading, and add/drop processing services for undergraduate and graduate students, which includes, scheduling events, and developing materials and information to facilitate the registration process for new and continuing students.
  • Develop and maintain detailed knowledge of the University’s undergraduate and graduate curriculum, in order to serve as a resource to the deans and department chairs, faculty/staff, and academic advisors; maintain the undergraduate and graduate course catalog in the system; and work effectively with Marketing and Communications to ensure course and program information in publications and on-line is accurate and up-to-date. Serves as a non-voting member on the University Curriculum and GFAC committees.
  • Provides leadership and coordination in the development and implementation of policies and procedures related to the Administration and Student Services for all graduate programs. Oversees and works closely with the Executive Director for Graduate and Professional Education for the graduate programs admission efforts to ensure quality of service to applicants.
  • Serve as the College’s “Official Certifying Officer” for all student records and provide oversight for all matters related to FERPA.
  • Oversee the daily operations of the Registrar’s Office, effectively recruiting, training, motivating, and supervising staff, and ensuring that supervisory practices are in compliance with the spirit and intent of the University’s policy on diversity and EEO/AA guidelines. Oversees initial registration and continuing enrollment of Bryant’s veteran students.
  • Has lead responsibility for the preparation of the official undergraduate and graduate graduation list, assists Marketing and Communications with the preparation of the Commencement Programs, and works collaboratively with other University departments to coordinate graduation and commencement activities.
  • Serves as Data Custodian for assigned modules in the Student System (Course Catalog Module, Class Schedule Module, Registration Module, Location Management, and Faculty Module), ensuring that administrative systems are optimally utilized to support all academic programs. The incumbent is responsible for data integrity; generating and reviewing consistency of standard reports; maintaining data; approving upgrades; assigning user to appropriate user class; specifying access privileges; maintaining confidentiality agreement records; reviewing and approving ad hoc report requests; and ensuring users comply with required work station usage. Specific responsibilities include ensuring users adhere to University policy on privacy and confidentiality; establishing standards for access and user privileges; training of staff; approving changes to standard operating procedures and system codes; creating and maintaining documentation on validation codes and use; determining data warehousing routines and reporting; and determining needs for systems modification. The incumbent serves as an Academic Affairs representative on the Commencement Committee and the Calendar Committee.
  • Veterans Administration: The Registrar ensures that timely and appropriate documentation is provided to the Veteran’s Administration (VA) on students receiving educational assistance through the VA; maintains up-to-date knowledge of VA reporting and benefits requirements; and serves as liaison between the students and the VA as appropriate.
  • NCAA: The Registrar along with the Associate Registrar and compliance officer ensures the on-going certification of NCAA eligibility for existing student athletes participating in the athletic programs.
  • Special Projects: The Registrar provides research and analytical support for the department’s assessment activities, including assisting with the preparation of all records and related reports associated with accreditation self-study and visitations. The Registrar will participate on assigned committees and special projects regarding undergraduate programs and accreditation, providing necessary research and analysis support.
  • Perform other duties as assigned.
Qualifications
This position is best filled by an individual with a Bachelor’s degree (Master’s preferred) in a related field; six or more years of experience in higher education, with demonstrated experience with administration of academic programs, and in-depth knowledge of University programs, curriculum development, policies and procedures. Substantial experience with integrated database systems is required to effectively coordinate administrative MIS and Web applications, and to make recommendations for future technological applications that will improve services. Strong managerial, supervisory, and organizational skills are required to effectively manage the registration process and associated student information systems. The ideal candidate will enjoy problem-solving and be strategic in envisioning data-driven solutions. Highly developed interpersonal skills are required to develop and maintain positive relationships with administrators, deans, faculty, students, and staff.
