Full Description
The assistant will be the back up to the receptionist. The duties include:
Greets visitors entering the Borough President’s Office seeking help or information and directs to appropriate staff
Answering of multi-line telephone system, make referrals, take messages
May respond to routine telephone calls; refers calls and visitors to appropriate staff.
Maintains a record of all callers and contacts
May perform office tasks such as filing, record keeping, and typing;
Sorting and delivery of Queens Borough President's Mail.
Collecting and Mailing outgoing mail.
Usage of the Pitney Bowes postage machine.
May be required to deliver mail/pick up mail from various City Agencies
May assist Director of Facilities with the following assignments:
Maintain daily calendar of conference room schedule of bookings
Liaison between other City Agencies in Queens Borough Hall and the Queens Borough President's Office
Prepare and set up for meetings held in Queens Borough Hall

Minimum Qual Requirements
1. There are no formal education or experience requirements for this position. However, the ability to understand and carry out simple instructions is required.

- Working knowledge of office equipment (personal computer, fax machine, scanner, copier, multi-line telephone,
- Computer skills Microsoft Office Suite (Microsoft Word, Excel, etc.)
- The ability to work with a diverse group of people; comfortable talking to and interacting with others with professionalism and courtesy
- Ability to work without supervision in case of absence of supervisor(s) when necessary
- Excellent organizational skills a must
Additional Information
Applicant must hold a NYS drivers license
Applicant will be required to maintain agency inventory with the Director of Facilities and the IT department.
Some moderately/ heavy lifting may be required.
Occasional evenings and weekend work are required.
