Job Duties

The Supreme Court of Ohio is seeking to fill the position of Executive Assistant in the Office of the Administrative Director. The successful candidate will provide clerical and administrative support for the Office of the Administrative Director.

What You'll Do:

  • Provide administrative and clerical assistance in support to the office of the Administrative Director. Assist in the coordination and preparation for committee meetings and special court functions.
  • Arrange travel for Administrative Director and affiliated team members; Prepare travel reimbursement reports.
  • Compose and finalize correspondence, memoranda, reports, and other documents. Open and distribute mail. Screen incoming calls and visitors, ascertain priority of routine matters. Maintain information and correspondence files.
  • Schedule meetings for the Office of the Administrative Director and assist in preparation for meetings. Schedule and place conference calls.
  • Maintain Administrative Director’s calendar.
  • Prepare agendas and record minutes for various meetings.
  • Prepare charts and other materials for the Justices' board and commission appointment binders.
  • Responsible for tracking board, commission, and advisory committee appointments.
  • Verify and update front matter content for the Ohio Official Reports.
  • Prepare and distribute administrative conference materials.

Qualifications


What we’re looking for:

  • The ability to perform a variety of administrative assignments with minimal direction using a high degree of independent judgment, demonstrated proficiency in office suite applications (word processing, presentation, spreadsheet, database, etc.) and ability to learn new software as necessary.
  • Demonstrated ability to work effectively with all levels of the Court and its constituents. Tactful communication both oral and written.
  • An Associate’s Degree or ten or more years of progressively responsible secretarial and administrative experience or a combination of equivalent education and experience is required.
  • A thorough working knowledge of the Supreme Court and the Ohio judicial system, with prior experience working with attorneys and judges preferred.
  • Requires excellent organizational skills with an ability to think proactively and prioritize work.
  • Requires the ability to work under pressure, discreetly handling all aspects of the job with professionalism, patience, and confidentiality.
  • Requires the ability to communicate tactfully and effectively, both verbally and in writing.
  • The ability to effectively interact and communicate with supervisor, co-workers, justices, judges, other public officials and employees, attorneys, judicial branch personnel, and the public.
  • Requires the ability to establish and maintain collaborative, effective working relationships with supervisors, colleagues, department directors, managers, employees, public officials, state agencies, and agency liaisons.
  • Requires the ability to handle sensitive, face-to-face contact with the public and government officials in a diplomatic manner.
  • A valid driver’s license is required.
