Serves as an Administrative Assistant in the Program Management Office. Performs numerous administrative tasks primarily in support of the Program, Human Resources, Safety, Facility and Finance Managers. In addition to secretarial duties (filing, taking phone calls, scheduling appointments, making travel arrangements), this position will provide administrative support to executive staff with office management responsibilities to include budgeting, personnel records and payroll. The Administrative Assistant may be required to work independently on projects requiring research and preparation of briefing charts and other presentation materials.
Responsibilities:
Essential Duties & Job Functions:
- Prepares/generates various program management documents and correspondence to include plans, procedures, policies, letters, etc., with considerable latitude for the use of initiative and independent judgment.
- Reviews/edits all documents for correct grammar, proper format and spelling prior to submitting for Human Resource, Program and Facility Managers signature. Maintains appropriate files and records.
- Coordinates appointments contract-wide. Coordinates appointments for Program and Facility Manager.
- Makes travel arrangements for contract personnel.
- Responsible for discrete handling of company confidential, proprietary and limited material.
- Based on knowledge of supervisor’s views, composes correspondence on own initiative about administrative matters for supervisor’s signature.
- Anticipates and prepares materials required by the Program and Facility Managers for correspondence, appointments, meetings, and telephone calls, and prioritizes items for Program Manager’s review and consideration.
- Prepares special one-time reports, summaries or replies to inquires, selecting relevant information from a variety of sources, such as reports, documents, correspondence and from other offices.
- Requests information required from subordinate offices for periodic reports or special requirements.
- Serves as the principal interface with parallel level personnel at corporate headquarters and other company contacts.
- Tracks correspondence, both incoming and outgoing, to include making sure appropriate responses are provided complete and on time.
- Responsible for receiving, reviewing, and inputting all timesheets for direct reports of the Program and Facility Managers.
- Reviews purchase orders brought into the PM office for signature to verify the correct accounting codes, dates, totals, and NTEs. Once executed, completes distribution of the purchase request to allow completion of the procurement process.
- Serves as a group entry timekeeper for the Program Management Office and alternate for other shops as required.
Mandatory:
- Requires High School Diploma or equivalent.
- Possess exceptional skills in Microsoft Office, which includes word processing, spreadsheet, database, and presentation programs. Must be able to prepare correspondence in proper format and include tables, charts, lists, graphs, etc. in final packages with minimal errors.
- Possess initiative, with ability to complete both routine/repetitive and unique/one-time tasks without supervision. Problem solving skills required to adapt guidance and procedures to new situations, seeking assistance only when required.
- Possess the ability to communicate effectively with others, including senior government officials, managers, supervisors, and customers in a professional demeanor.
- Possess the ability to maintain strict confidence.
- Possess and maintain a valid driver’s license with a suitable driving record.
- Obtain and maintain a favorable National Agency Check with Inquiries (NACI) as required by contract.
