The City of Anaheim is seeking a team-oriented, dynamic, and customer-driven Part Time Intermediate Clerk for the Planning and Building Department. The Intermediate Clerk will ensure that our customers receive prompt and professional assistance. Candidates must possess journey level experience in performing a full range of clerical duties, including maintaining schedules and calendars, expertly maintain a multi-line telephone system to answer and coordinate a high volume of inquiries, and provide face-to-face customer service to the general public.

Ideal candidates will possess experience in supporting managers and staff, have strong knowledge of utilizing computerized business databases to compile reports, and experience in providing clerical support in a public sector environment.

Bilingual in English and Spanish or Vietnamese is preferred. Knowledge of municipal building permit, business license, code enforcement and planning counter staff assistance experience is desirable.

This is a part-time position usually averaging 30 hours per week. A minimum number of hours is not guaranteed.

Essential Functions

The following functions are typical for this classification. Incumbents may not perform all of the listed functions and/or may be required to perform additional or different functions from those set forth below to address business needs and changing business practices.


Type, proofread and word process a variety of correspondence, letters, forms, memoranda and documents from rough draft or verbal instruction; compile data and prepare various reports.

Answer multi-line telephone and route calls to appropriate personnel; provide information on departmental and City policies and programs as required.

Provide front counter assistance; screen office visitors and provide information within area of assignment.

Maintain accurate and up-to-date manual and computerized files and records for assigned area; monitor various logs, accounts, reports and files for current and accurate information.
Receive, sort and distribute incoming and outgoing mail and correspondence within the assigned department.

Maintain calendars and schedules of appointments, meetings, room use, equipment use and events.

Operate a variety of office equipment including a copier, typewriter, calculator and computer; operate a computer terminal to enter, modify, or retrieve data.

Maintain inventory of forms, office supplies and other general supplies for assigned department; order supplies as needed.

Compile information for a variety of narrative and statistical reports, locate sources of information, devise forms to serve data and determine proper format for finished report.

Make and check arithmetic calculations.

Perform related duties and responsibilities as required.

Qualifications

Experience: Possess a varied journey level clerical work.

Knowledge of: Demonstrate knowledge of modern office methods, procedures and computer equipment; basic principles and procedures of filing and record keeping; basic principles of customer service. Principles of business letter writing and basic report preparation; English usage, spelling, grammar and punctuation; basic arithmetic.

Ability to: Perform general clerical work including filing, typing and answering phones. Type and/or enter data on a computer at a speed necessary for successful job performance. Receive, process and distribute incoming and outgoing mail. Operate a variety of office equipment including computers and supporting word processing applications. Provide detailed information to the public regarding assigned area of responsibility. Correctly interpret and apply City policies and procedures. Communicate clearly and concisely, both orally and in writing. Establish and maintain cooperative working relationships with those contacted in the course of work.

RETIREMENT BENEFITS – The City contracts with the California Public Employees Retirement System (CalPERS) to provide retirement benefits. Retirement formula is based on appointment date and membership status with CalPERS.

Part-time eligible employees become members of CalPERS as either Classic or New members.

Part-time employees not eligible for CalPERS are required to participate in the City’s part-time 457 plan, as a replacement plan for Social Security.
