This position is in a civil service competitive class that is subject to examination. If you do not already have permanent NYC civil service status as Clerical Associate, you will have to file to take the Civil Service Exam when it is offer. Within DCWP, the Office of Financial Empowerment (OFE) focuses on initiatives that support New Yorkers and communities with low incomes in building wealth and improving their financial health. OFE is the first local government initiative in the country with the mission to educate, empower, and protect New Yorkers and neighborhoods with low incomes so they can build assets and make the most of their financial resources. OFE uses data and research, policy, partnerships, and convenings to advance its mission. Using this model, OFE is able to develop, offer, and advocate for innovative programs and products for all New Yorkers.

OFE is currently seeking an Operations Coordinator to join OFE’s Operations team. Reporting to the Operations Manager, the Operations Coordinator will assist with office organizational tasks and support fiscal processing, in support of OFE’s programs. The ideal candidate must excel at building relationships, is process-oriented and have strong organizational skills.

Responsibilities include, but are not limited to:

  • Act as a primary point of contact for office organization including supply maintenance and managing OFE’s facilities requests;
  • Maintain and update division documents such as presentations on OFE projects and initiatives, reference documents and office templates;
  • Maintain office equipment and inventory tracking systems;
  • Support the invoice review process by reviewing incoming reimbursement requests and supporting documentation for completeness, accuracy and validity of charges; identify and investigate errors, missing documentation and/or other discrepancies;
  • Assist in maintaining and updating invoice tracking systems;
  • Provide support in the recruitment, hiring, and onboarding processes by screening resumes, scheduling interviews, managing correspondence with candidates, collecting required forms and information from applicants and submitting forms to Human Capital as well as managing new hire set up;
  • Build and maintain relationships with City agencies, community-based organizations, and other external stakeholders as needed.
  • Maintain team and project work plans, timelines, milestones, deliverables, and follow-up items to ensure deadlines are met and tasks are completed in a timely manner;
  • Prepare meeting agendas and take meeting notes;
  • Assist in the planning, organization and execution of various OFE events;
  • Draft correspondence and other documents for external stakeholders;
  • Assist in preparing PowerPoint presentations for OFE;
  • Provide operational and administrative support to the division as needed; and
  • Assist with other related duties as assigned.

Minimum Qual Requirements

Qualification Requirements
A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
Skills Requirement
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.

  • An enthusiastic and positive individual with good interpersonal skills and ability to interface with all levels of staff;
  • Ability to work under stringent deadlines, manage multiple assignments, and handle sensitive information;
  • Proficiency in Microsoft Word, PowerPoint and Excel.
