The Finance & Facilities Manager is responsible for resourcing program and ministerial staff with the financial and physical plant resources necessary to execute the Mission and Vision of MHC. As a servant partner with the other members of the staff it is the responsibility of the FFM to ensure that budgets and buildings are sufficient for the execution of ministry programs. POSITION OUTCOMES/EXPECTATIONS:

Leadership of Finances:
1. Proactive leadership of the stewardship of all funds entrusted to MHC Cultivate a close, synergistic relationship with all senior leadership and program staff.
2. Lead the staff in all areas of budget creation and management so that a sufficient budget to execute the mission is created and that the mission can be accomplished with budgeted funds.
3. Ensure that budgeted expenses are appropriately accounted for and easily identified for the sake of internal auditing.
4. Oversight and accountability for extra-budgetary expenditures and when necessary obtaining approval for such expenditures with appropriate Sessional commissions.
5. Lead and manage internal bookkeeping & expense procedures.
6. Staff leader in the deployment and use of technology as it relates to accounting, expenses and bill payment.
7. Congregational-facing leadership with regard to all aspects of giving using the TouchPoint app. and the integration between touchpoint and QBO.
8. Leading the QBO oversight and providing delegated access to Sessional and/or Diaconal leaders for QBO reports and/or Bill.com and Divvy.com reporting and other electronic tools.
9. Preparing and printing of electronic and paper statements of giving for congregation members using QBO and/or Touchpoint.
10. By execution or delegation scanning and entering invoices, bills and receivables into Bill.com and processing such for approval and payment.
11. Preparation of monthly giving reports, P&L, cash flow statements and balance sheets
12. Participating in quarterly internal audit conversations with the finance committee
13. Signing of checks and/or electronic approval of invoices through Bill.com
14. Management and oversight of all finances as it relates to YBL, reporting for YBL and issuance of giving statements and/or electronic receipt of gifts from YBL donors.
15. Management and oversight of all finances with regard to Grace Cemetery, donations, purchasing of plots and management of trust account.
16. Financial leadership and forecasting for fundraising and capital campaigns
17. Other duties as assigned.

Leadership of Facility:
1. Lead the stewardship of the physical plant of Madison Heights Church.
2. Manage and oversee by person or by proxy all building projects and remodeling at MHC.
3. Establish plans and contingent plans for space usage in the event of building or remodeling and/or inclement weather during normal programming.
4. Responsible for all groundskeeping at MHC & Grace Cemetery a. Grass cutting/maintenance b. Landscaping c. Hardscapes d. Chemicals e. Irrigation

5. Establish and maintain a close and fiscally responsible relationship with all vendors for MHC.
6. Proactively maintain the facilities, classrooms, systems, grounds and aesthetics of MHC.
7. Full ownership of the set-up, break-down and arrangement of all classrooms, connecting space and worship space for the multiple uses of the facility on a weekly basis.
8. Manage the schedule and servicing by custodial staff of all buildings while maintaining accessibility and availability of all spaces for ministry.
9. Within budget, manage any vendors/subcontractors needed to accomplish leadership objectives.
10. Navigate the storage and availability of all ‘storage items’ at MHC.
11. Determine the feasibility for all facility servicing through in-house or subcontracted relationships.
12. Pro-actively schedule maintenance, servicing and repair of all systems, appliances and mechanical equipment belonging to MHC.

13. Full ownership of the title, taxes, tags, servicing and maintenance of any automobiles, buses, vans or trailers belonging to MHC.

14. Interfacing with the City of Madison and/or County with regard to codes, regulations.
15. Management of fire, security, video and access control systems belonging to MHC.
16. Primary staff liaison with security team, parking teams and any “work day” related activities.
17. Responsible for the clean-up, shut down, close down and opening of the facility on a daily basis.
18. On-call staff representative for weather emergencies, facility break-ins or incidents that occur on property.
19. Other duties as assigned.

Adminisitrative:
1. Human Resources a. Conduct all onboarding, exit interviews and compensation reviews with all staff b. Lead the employee evaluation process and report to Governance commission c. Manage benefit administration including Healthcare for staff and advise Governance commission regarding benefit needs/changes d. Manage PTO and track hourly employee compensation e. Manage employee handbook, compliance and State/Federal reporting requirements

2. Grace Cemetery a. Manage the inventory and sale of all cemetery plots b. Staff leader for Plotbox, deeds and plot ownership c. Administrative coordination of cemetery operations d. Staff liaison for all funeral setup/breakdown logistics e. Management of al cemetery finances including payment plans

3. Information Technology a. Management of IT infrastructure b. Management of all Desktop, Laptop and personal devices c. Centralized repository of all software and hardware knowledge d. Management of all online resources, backups, firewall and passwords e. All software and hardware purchases are the responsibility of this position

4. Security a. Staff liaison for volunteer security team b. Responsible for hiring all 3rd-party security and/or off-duty police officers c. Parking, Lighting, Cameras and IT related to security d. Child protection policies and staff training related to child protection

Leadership:
1. Lead and interact on a daily basis with staff and Senior Executive Team, specifically with regard to their daily needs with regard to the facility.
2. Creation of forms, processes and procedures for all facility and finance related protocols at MHC.
3. Coach and Develop direct reports in the use of necessary tools including software or hard processes for the execution of duties.
4. Add circumspect input into staff planning and ministry meetings to help navigate the increasing pressure placed on limited facilities.
5. Serve as the primary staff interface for the rental and use of the facility for weddings, funerals and/or other ecclesiastical events such as Presbytery, etc.
6. Help to disciple and direct maintenance and/or Janitorial staff to the dignity of their work and the greater connection to the Kingdom objectives that they are helping to fulfill.

QUALIFICATIONS AND REQUIREMENTS:

● Has a minimum of 5 years experience in a role managing others
● Experience and giftedness in managing finances.
● Experience in administration and management of large facilities.
● Ability to collaborate with MHC staff and members in fulfillment of ministry objectives.

GENERAL PASTORAL RESPONSIBILITIES:

GENERAL STAFF RESPONSIBILITIES:

1.) Staff responsibilities are completed in a quality and timely manner (finance reports, budget preparation & alignment, time off requests, semi-annual reports, etc.)

2.) MHC values the staff culture, exchange of ideas and loyalty that is built from working together on a daily basis, therefore MHC has invested in office resources for onsite work.
As such, all staff members, except with direct exception from their direct report, should plan to work from MHC during office hours.

3.) Work week expectations for full-time, exempt personnel in professional positions will average from high 40’s to 50+ hours per week. General time block work days are expected for Ministerial and Program staff with an approved ‘day off’ and a standard 8-5,
M-F for purely Administrative staff.

3.1.) Time block work days are generally: MORNING/AFTERNOON/EVENING
4.) The setting annual goals and objectives is expected of each staff member, quarterly reviews of goals and objectives as well as re-calibration and celebration where appropriate.

PERSONAL DEVELOPMENT:
