The City of Richmond, Department of Planning & Development Review is currently seeking an Administrative Technician Senior. The qualified candidate will be responsible for assisting the Property Maintenance Division by providing administrative leadership and excellent customer service..
- Receive complaints and enter into agency code enforcement tracking system.
- Provide customer service to both external and internal customers.
- Utilize a variety of city systems to research, update and retrieve information.
- Attach documents to the agencies code enforcement tracking system.
- Maintain spreadsheets with accurate and updated data for reporting.
- Create invoices for special assessments and civil penalty fees.
- Maintaining filing systems, charts, and spreadsheets to keep data and information up-to-date, organized, and accurate.
- Assisting with processing, troubleshooting, producing and updating office operating procedures.
- Assisting enforcement Staff with production of correspondence and monitoring of violations and referrals.
- Assisting with review and production of information under the Virginia Freedom of Information Act (VFOIA).
- Performing general administrative support tasks such as answering phones, checking voice- and E-mails, recording information and forwarding messages.
- Assisting with and monitoring inventory and ordering supplies.
- Scheduling meetings, trainings or conferences.
- Other administrative duties as assigned by Program and Operations Manager
KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of office management principles, methods, and procedures to complete work assignments. Knowledge of sorting/filing techniques and records retention policies and maintain accurate records. Knowledge of permit workflow process. Ability to manage and prioritize multiple assignments. Ability to work under pressure and adjust to a diverse working environment. Ability to maintain accuracy and attention to detail when completing multiple assignments. Skill in the use of various computer software packages.
MINIMUM TRAINING AND EXPERIENCE:
- Bachelor's degree in business/public administration or field related to assignment
- Two years of paraprofessional experience in area related to assignment, such as assisting with program or project administration and management analysis
- An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification
LICENSING, CERTIFICATIONS, and OTHER SPECIAL REQUIREMENTS:
- Some assignments may require a valid Driver's License with a satisfactory driving record, and a valid Commonwealth of Virginia Driver's License within 30 days of hire.
