This position is responsible for performing a variety of clerical and routine accounting duties for the Operations Support Office and the Intelligent Transportation Systems Program in the South Dakota Department of Transportation (SDDOT). Duties may include, but are not limited to, preparing and processing vouchers, permits, negotiated contracts, and work orders; tracking financial transactions; ordering and maintaining inventory of office and engineering supplies; performing reception duties such as answering the phone; processing mail; scheduling and arranging travel; planning and arranging meetings; scanning, copying, filing; proofreading and editing technical documents for grammar and spelling errors; and assisting others in these offices as needed.

The position performs similar duties for the Office of Research, and additionally maintains the Research library by ordering requested books, cataloging incoming books and publications, assigning library codes to documents, maintaining subscriptions to technical journals, and coordinating with the South Dakota State Library.

This position will also process the approval of subcontractor requests on active highway construction project contracts and distribute letters to SDDOT field offices, contractors, and other state agencies. This work involves reviewing contract bid items and calling contractors to clarify bid item prices for calculating percentages of subcontracted work.

The total compensation of Hourly Wage + State/Federal Benefits for a typical year for entry level Senior Secretary is approximately $54,407.00 annually.

The Ideal Candidate Will Have:
Experience preparing invoices, billings and vouchers; reviewing and coding financial information; planning and arranging meetings; reviewing technical documents.

Experience with library processes is preferred but not required.

Knowledge of:

  • accounting and bookkeeping terminology and practices (preferred but not required);
  • general record keeping and filing systems.

Skills to:

  • operate computers and use Adobe Sign and Microsoft Office Suite, principally Word and Excel;
  • add, subtract, multiply, and divide mathematical figures;
  • type and enter data;
  • operate standard office equipment.

Ability to:

  • learn diverse administrative processes;
  • display high standards of ethical conduct;
  • listen attentively to others and clearly convey information and ideas;
  • treat customers courteously and be responsible to their needs;
