Under the immediate supervision of the Parks & Recreation Supervisor-Athletics, the purpose of this job is to perform a variety of administrative tasks for the Athletics Division. Employees in this classification are responsible for providing general office, administrative and or clerical support for the City’s comprehensive athletic programs. This position will assist with scheduling the City’s athletic facilities for youth and adult leagues, sport tournaments and events as well as prepare standard documents, reports, relaying and solving routine telephone, email and/or walk-up inquiries, processing registration forms, performing data entry and establishing and maintaining records. Performs related work as directed.

Employees are hired as AT WILL employees that serve at the pleasure of the City and maybe terminated with our without cause.

Examples of Duties

Provide general office, administrative and/or clerical support for the Athletic Division.

Assist with scheduling of activities, leagues and special events occurring at the City’s athletic facilities.

Issue field permits for user groups through the City’s recreation software program.

Prepare and complete required reports, forms and other documentation including facility rental availability and fees.

Prepare proper documentation leading up to athletic programs and events such as submitting work orders and special event requests.

Assist patrons in registering for sports leagues in person, online and over the phone.

Answer questions about programs, schedules, leagues, etc.

Performs transactions in the City’s recreation software program such as program registrations, refunds, cancellations and daily deposits.

Assist with inventory, distribution and collection of sports uniforms, equipment, pictures, etc

Typical Qualifications

Basic knowledge of athletic programs and sporting events.

Standard computer and telephone skills.

Knowledge of modern office procedures, practices and equipment.

Ability to acquire knowledge of the structure and function of various City departments and policies.

Ability to express ideas clearly and concisely, both verbally and in writing.

Ability to research and develop information from a variety of sources.

Knowledge of organizational structures, functions, operations, objectives and goals of municipal government and a Parks and Recreation Department.

Detail oriented, skilled in prioritizing and scheduling.

Ability to manage multiple projects and programs.

Ability to establish and maintain cooperative and effective and courteous working relationships with staff, the general public, City employees and City officials.

Financial Responsibilities: Accept, receive, and/or collect payments; prepare and/or process purchase orders; accountable for inventory/property management;

DESIRABLE EXPERIENCE AND TRAINING
High school education or equivalent required, one year of office experience preferred. General knowledge of the philosophy of recreation/athletics and the different activities which make up a comprehensive community recreation program.

LiveScan Fingerprint Process
Incumbents in this job class are required to undergo a Level 2 Background Screening as required by the State of Florida. The screening includes a photograph, fingerprint-based searches of criminal records nationally, and is performed using the electronic LiveScan process.

Supplemental Information


This is a designated "Recovery" classification in the City's Emergency Operations Plan and will require the employee occupying this position to work for declared emergencies.. Attendance at National Incident Management System (NIMS) training at the appropriate level is mandatory.
