Job Description
The Utah Governor’s Office of Economic Opportunity is seeking a talented administrative assistant to support the office’s Incentives and Grants team, which includes about 10 state workers. The person hired for this position will primary be in-person but hybrid part-remote schedule may be considered after training.
Principal Duties
Provide administrative support to the managing director of Incentives and Grants, including but not limited to:
- Calendar management
- Meeting scheduling
- Meeting and event planning and logistics management for in-person and virtual meetings
- Travel arrangements
- Financial reimbursements
- Customer relations
- Grant evaluations
- Assist with project management
- Grant payment processing
- Coordinating meetings, including arranging meeting logistics for in-person and virtual meetings
- Transcribing minutes
- Completing travel arrangements and reimbursements
- Managing the team’s purchasing card and associated documentation and reporting
- Additional support as needed
Duties include:
- Compile, analyze and prepare reports
- Evaluate grant applications
- Serve as the team’s assistant travel coordinator
- Support internal policy requirements for travel
- Prepare travel authorizations and reimbursements
- Prepare group gatherings
- Schedule staff events and meetings
- Provide support for in-person and virtual meetings and events
- Manage the onboarding and offboarding processes for team members

Foster relationships with other administrators working at state agencies and community partners based on project requirements
The ideal candidate will have the following:
- Working knowledge of Google Apps and Microsoft Office Suite
- Familiarity with Google Calendar, Google Meet, and Zoom
- Full-time or part-time professional or similar office experience
- Excellent verbal and written communication skills
- Attention to detail
- Friendly, personable, and works well with others
- Organized and process-oriented
- Ability to multitask
