Administrative Assistant
This position may have the option to telework

The Division of Services for People with Disabilities (DSPD) is looking for a highly skilled and motivated individual to fill an Administrative Assistant position. This position provides administrative support to the Division Director, Assistant Division Director, management and office staff.

Principal Duties
  • Provides administrative support to the Division Director and the Assistant Division Director.
  • Maintains Director's calendar, scheduling and assist with meetings.
  • Schedules and coordinate executive appointments and travel arrangements.
  • May supervise subordinate staff to include hiring recommendations, determining workload, delegating assignments, training, monitoring and evaluating performance as well as initiating corrective or disciplinary action.
  • Makes arrangements for trainings as needed and when requested by Division leadership team members.
  • Processes personnel documents for Director including payroll, milage, incentive, letters of commendation, and corrective actions.
  • Assists with, creates, and edits written correspondence of Director and leadership team.
  • Schedules interviews and oversees interview paperwork for new hires, and assists with all additional tasks that are associated with hiring new employees.
  • Keeps Org chart updated and Division Directory, cell phones, office phones.
  • Manages Mail
  • Completes payments and tracking/records with p-card.
  • Other administrative and project duties as assigned.

  • Has excellent communication skills, both verbally and in writing.
  • Is proficient with Word, Excel, Gmail, Google Docs, and Google Sheets.
