This is a key position for MedData, as the role serves as the face of MedData to our hospital clients on a day to day basis. The purpose of this position is to lead and manage all operational staff and client portfolios encompassing the assigned geographical region or health system and works in conjunction with ED/RVP to developing, planning, directing, and controlling broad activities needed to ensure business success. The Operations Manager complies with organization objectives to ensure financial and operating success. The Operations Manager is responsible for creating an environment that engages staff, creates quality operations and administrative processes, growth, and predictable financial performance. The Operations Manager works within the scope of authority established by MedData while supporting and adhering to our code of ethics, business standards, mission, and core values.
The Operations Manager should be results focused and achieve predetermined metrics through strong employee performance. As such, the Operations Manager must be proficient in creating a team environment, developing the talents of individuals on the team and be a constructive change agent. The Operations Manager, while oversee a broad client base is responsible for the daily activity of their respective team members.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Responsible for day to day operation of staff and client needs
  • Manage and orient staff; assigns work, develops work schedules, instructs in proper
  • Provides coverage for supervisor, leads or advocates as needed
  • Monitors staff performance and ensures KPI’s are met
  • Provides employee recognition and feedback
  • Document issues and concerns to their Executive Director
  • Works collaboratively with the Executive Director to establish monthly staff and team goals
  • Ensures staff is obtaining adequate information; provides opportunity for associated training for staff
  • Monitors overall project performance and provides monthly analysis of KPI’s; reports findings and implements solutions when negative trends are noted
  • Monitor and provide updates with regulatory compliance; conducts periodic audits; and maintains files
  • Manage confidential and proprietary MedData and client information
  • Serves as the point of contact for MedData's client hospitals an address client issues immediately as they arise
  • Ensures MedData’s policies and procedures and applicable regulations, including HIPAA, ACA, EMTALA regulations, State/Federal regulations related to operations, and labor regulations
  • Ensures all communication from patients and clients have timely follow-up and resolution of complaints and concerns
  • Lead team to achieve performance of short term goals and shares in long term planning with respective Operation’s leadership team
  • Achieve financial objectives (revenue and earnings) for his/her region/business unit
  • Contributes to the business development process to increase market share and sale of additional service lines to existing clients
  • Monitor all departments for aggregate performance in resolving based root cause gap performance of revenue cycle activity
  • Manage team needs and establish work priorities; determine workflow and establish schedules activities and avoid unnecessary duplication; distribute work responsibility, anticipate future needs, and provide guidelines for worker evaluation.
  • Ensure continuous improvement of key operational processes and personnel and provide adequate training needs to the staff
  • Evaluate and resolve general and specific business conditions as they relate to operational issues, and keep appropriate corporate departments fully informed
  • Work in concert with ED/RVP to develop and implement strategies by contributing information, analysis, and recommendations to strategic thinking and direction
  • Oversee the employee evaluation process, including but not limited to performance evaluations, merit increases, and benchmark standards
  • Responsible for interviewing, planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems
  • Continuous mentoring of Supervisors, Leads and Staff Advocates
  • Represents MedData at client department meetings
  • Have working knowledge of how to motivate and engage with their employees, Develops and implements effective communication channels to provide information to all staff members; provide the forum for staff to verbalize concerns, issues and ideas while enhancing a positive working relations
  • Works collaboratively with other facets of the operations which includes, operations, quality assurance, billing, IT and HR.
  • Daily review/audit the Advocate Overview, Overdue and In-House reports to monitor Staff Advocates caseloads and audit any overdue tasks
  • Complete hospitals specific tasks
  • Audit and reassign Field Service Requests according to intake advocate
  • Submit weekly status request to hospital onsite worker
  • Audit and work daily the Management Dashboard which consists of; Audit Deceased accounts, Audit accounts out of KPI standards, Audit VIP accounts, Assisted with Flagged accounts, Audit and review accounts in Steps Requires by Manager, Audit Late action accounts, Audit General Reports, and Audit Screening Reports
  • Month-end; ensure all accounts in Steps Require by Manager, Screened no linkage and Flagged accounts are all done by the last day of the month
  • Complete Quarterly Reviews for all Staff Advocates
  • Provide all new staff advocates coming on board with a performance plan (Goals and Expectations) to continuously mentor and guide any new employee
  • Review, audit and approve payroll
  • Approve and submit team expenses
  • Assist with onboarding interviewing of department personnel
  • Attend HFMA, AHAM or relevant health care association seminars or conferences
  • Attend relevant client or county meetings as requested. A natural forward planner who critically assesses own performance


QUALIFICATIONS AND REQUIREMENTS

  • High School Diploma or GED
  • Bachelor’s Degree Preferred
  • Minimum of 2-5 years of management skills, manages at least 5 people which may be in different geographic locations.
  • Hospital and/or applicable revenue cycle experience required
  • Thorough understanding and proven track record working with state and federal programs
  • Strong leadership and communication skills, high service orientation and strong computer system and analytical skills are required, self-driven, results-oriented with a positive outlook, and a clear focus on high quality and business profit
  • Demonstrates and involves others in learning about ongoing needs for change. Must be adept at creating change and motivating teams through change
  • Excellent time management and prioritization skills
  • Accustomed to working in a rapidly changing environment
  • Demonstrated ability to hear, assess and prioritize client requests and concerns and diligence with follow through
  • Experience with Hospital systems
  • Working knowledge of computer functions including the internet and computer software such as Microsoft Office Suite and the ability to learn in-house computer applications
  • Proven track record of ability to work independently
  • Demonstrated ability to multi-task numerous system, employee and client urgencies
  • Excellent communication skills both written and oral
  • Explain complex rules and programs as they can be understood by people of diverse social economic and cultural backgrounds
  • Knowledge of government programs
  • Strong background and work experience in Finance
  • Ability to research trends and address positive/negative trends timely
  • Challenge and debate issues of importance to the organization with management
  • Travel may be required. Will also visit and confer with representatives of various county agencies that the company currently works with. May require overnight travel
  • Mature, credible, and comfortable dealing with senior hospital executives and government entities
  • Ability to work under pressure, meets deadlines, make sound decisions, and possess strong problem solving skills
  • Ability to delegate responsibilities effectively
  • Self-driven, results-oriented with a positive outlook, and a clear focus on high quality and business profit
