Job Description:

The Department of Justice, Portland Legal Office is seeking a bright individual to help with the day-to-day functions of their office. WHAT YOU WILL DO (in part)

Due to the nature of this position, the required work hours are 8a.m. – 5p.m., Monday through Friday, with an hour scheduled for lunch.

  • Process inbound and outbound mail and packages coming in and out of the office.

  • Answer reception, route calls to appropriate recipients.

  • Assist with coordinating and transporting vehicles for maintenance and repairs.

  • Update library resource materials.

  • Move or reconfigure furniture in conference room as needed.

  • Maintain office equipment.

  • Make deliveries outside of the office to various courts or other state agencies.

  • Perform simple and repetitive clerical tasks.

  • Assist with period bulk mailing and numeric sorting.

REQUIRED SKILLS/EXPERIENCE/TRAINING

  • Completion of courses or training in Office Technology; OR one year of general clerical experience which included typing, word processing, or other generation of documents; OR an equivalent combination of training and experience.

  • This position will be required to obtain a Notary Public commission within six months of being hired and will maintain the commission throughout the duration of this appointment.

  • Have and maintain a valid drivers license.

Work experience is based on a 40 hour work week. (Example: 20 hours a week for one year would equal six-months of work experience.)

DESIRED SKILLS AND ATTRIBUTES

  • Have and maintain a valid CPR/First Aid Certificate.

  • Ability to speak multiple languages fluently.

  • Experience updating and creating content in Microsoft SharePoint.

  • Ability to properly assimilate pertinent and sometimes incomplete information.

  • Ability to exercise judgment and confidentiality in performance of duties.

  • Ability to handle stressful, busy situation in performance of regular duties.

  • Experience directing visitors, vendors and delivery personnel.

  • Experience directing phone calls to appropriate lines.

  • Experience using alpha-numeric filing systems.

  • Experience with a variety of software programs.

  • Experience dealing with frustrated or hostile people on the phone and in person.

Illustrated through in-depth employment and reference checks and application material.
