Administrative Assistant, Atlanta, GA

SUMMARY

Performs a variety of routine secretarial and administrative tasks for a Division or Organization Unit of the Centers for Disease Control and Prevention (CDC).

ESSENTIA L DU TIES AND RESPONSIBILITIES

Includes the following (Other duties may be assigned):

  • Manage appointment and meeting schedule for the Division and/or organization unit served and refers non-routine requests to appropriate CDC managers or staff.
  • Prepare correspondence letters and emails in response to inquiries and other day-to-day activities.
  • Controls mail and assures timely staff response; may send form letters and ship exhibit materials.
  • Maintain office files and collects information from the files or staff for routine inquiries on office program(s) or periodic requests.
  • Respond to incoming calls and route to the appropriate individuals based on the organization's procedures, and protocol.
  • Process internal and external visitors' travel and security clearance requests in accordance with the federal guidelines and CDC operating systems.
  • Coordinates, prepares, tracks, and provides advice and direction for standard travel orders, vouchers, and training requests.
  • Use established procedure and CDC's automated travel system, complete all travel arrangements for CDC staff members, and process travel vouchers.
  • Provide support for the Division and Branch staff by developing spreadsheets and databases for tracking and analyzing functions such as personnel, procurement, inter-agency agreements, and travel-related activities.
  • Provide the Division and Branch staff with materials and data which will facilitate accurate and precise decision-making for which they are responsible, including meetings and conferences.
  • Maintain, coordinate, and track all procurements and travel for the Division and Branch staff and forward to the appropriate management staff on a weekly basis.
  • Coordinates meeting logistics to include but not limited to creates name/tents/badges, schedule room, send out meeting invites, prepares agendas and compile background materials, and take meeting notes/minutes for routine meetings.
  • Requisition supplies, printing, maintenance, or other services, and assist with copying, scanning, and faxing documents.
  • Documents and distributes communications by senior staff. Initiates, plans, and coordinates communication among Division or Branch staff to ensure and facilitate the timely flow of information and results of activities.
  • Assists with in/out processing of contract and staff, and coordinates personnel and administrative forms and forwards for processing.
  • Provides support for multiple managers and/or backup for multiple programs when other administrative support staff are absent or have peak workload.
  • Consistently provides responsive service to internal/external customers that support customer and program requirements.

SUPERVISORY/MANAGEMENT AUTHORITY

  • No supervisory/management authority.

EDUCATION and/or EXPERIENCE

  • Requires a high school diploma; Associates degree or higher preferred.
  • Minimum of 3-5 years of experience of administrative experience.
  • Zoom or Zoom Gov experience preferred.

KNOWLEDGE, SKILLS AND ABILITIES

  • Proficient in Microsoft Office applications
  • Ability to manage multiple high-priority assignments
  • Possess excellent communication and organizational skills with the ability to multitask, set priorities, and meet deadlines

WORK ENVIRONMENT

  • Work is conducted in a climate-controlled office environment.
  • The environment may require prolonged sitting, prolonged standing, and light lifting up to 20 lbs.
