Job Summary:

The Event Manager is responsible for every aspect of event planning and management, including promoting, reserving, scheduling, monitoring, and coordinating with guests, vendors and team members with strict budget and timeline agreed at the Dunraven. The position is the primary point-of-contact between Estes Park Resort Sales department, and leads directed to the Event Manager for Dunraven, in addition to maximizing Dunraven’s banquets and events’ revenue. The position will require commitment to exceptional guest services with excellent communication, and time management skills while thriving in a fast-paced environment working well with different teams.

Supervisory Responsibilities:

  • Manage and oversee the banquets and events work schedules.
  • Conduct timely and constructive performance evaluations for banquets and events employees.
  • Mentoring and training of Banquet and Events employees to provide best possible guest services with consistency, and quality.

Education and Experience:

  • Must have alcohol awareness certification such as TIPS, as required by local or state government agency.
  • At least two years of proven and related experience is preferred.

Physical Requirements:

  • Flexible with schedule, and long hours sometimes required, including working morning, afternoon, nights, holidays, and weekend shifts.
  • Ability to be on your feet throughout the entire shift: prolonged periods of standing, bending, stooping, twisting, and walking, including up and down the staircases.
  • Lifting, carrying, pushing, pulling or otherwise move objects, products, and supplies up to 30 pounds.
  • Must be able to work with hot, cold, and hazardous equipment.
  • Must be able to work indoor and outdoor environment (such as the hotel’s pavilion and gazebo) for special events.
  • Must be at least 21 years of age.

  • Have proficient knowledge on sounds system, and information technology, computer skills including operating the computers, iPads, phones, fax machines, copiers and other office equipment.
  • Must work well as a team, including front of the house, back of the house and the banquet team.
  • Responsible, reliable, punctual, and trustworthy.
  • Know and able to complete job-specific duties for the position.
  • Must be able to follow instructions, and directions set by the Department Managers.
  • Must be able to follow the health, safety, and sanitary practices for food handling, and general cleanliness at all times.
  • Must be able to follow company policies and procedures at all times.

Essential Duties/Responsibilities:

  • Plan, coordinate and monitor event details and aspects, including seating, setups, pre-event, during and post-event in accordance to event timelines, and ensuring deadlines and the requirements are met.
  • Prompt and timely respond to all incoming inquiries or leads via electronically, written correspondence, and phone calls, and in-person.
  • Familiarity with Dunraven’s wedding and event packet menu, and restaurant menu, including all food, beverages and alcoholic selections.
  • Familiarity with restaurant management software for POS, reservations, sound systems and timekeeping system, including troubleshooting the systems.
  • Maintain relationship, make reservations, and/or coordinate with guests, and vendors for Dunraven events, including any promotional events and food tasting with the guests.
  • Ensure and properly perform opening or closing event procedures, including security procedures to protect employees, guests, and company assets.
  • Coordinate consistent communication among Estes Park Resort Sales & Marketing Manager, Banquet Chef, Banquet Captain, and event team, including back of the house employees, and front of the house employees.
  • Maintain a working knowledge of the complex needs of a wide variety of events.
  • Manage events and addressing potential problems that may arise.
  • Plan for potential scenarios that could impact the integrity of the event.
  • Create reliable event and sales reports, statistics, feedbacks for improvement, and complete the required administrative duties.
  • Train and mentor banquets and events employees.
  • Supervise banquets and events employees, and provide assistance and directions regarding operational, and procedural issues as needed.
  • Ensure and properly perform opening or closing event procedures, including security procedures to protect employees, guests, and company assets.
  • Ensure proper staffing for banquets and events, and support department managers with proper scheduling in accordance with budget and business needs.
  • Adhere to established payment and POS procedures, including perform detailed and accurate cash register matters in all types of payments, and cash handling for opening and closing after each shift with guests and employees.
  • Track and maintain inventory level of restaurant supplies such as serving wares, silverwares, etc., and report to General Manager for replenishment.
  • Assist and support General Manager with execution of the established procedures for successful operation, and administrative tasks.
  • Meet and exceed budgeted financial performance (eg. sales projection, labor cost, supply cost, etc) set by General Manager.
  • Ensure positive guest service in all areas, including gathering guests' feedback and respond to complaints promptly and professionally, including electronic correspondence.
  • Adhere and ensure sanitary practices for food handling, general cleanliness, and maintenance of the dining areas.
  • Adhere and ensure a safe working and guest environment to reduce the risk of injury and accidents; and completes accident or emergency procedures promptly in the event of injuries.
  • Adhere and ensure compliance with operational standards, company policies, federal/state/local laws, and ordinance.
  • Complete job responsibilities and performance objectives in timely and effective manner, in accordance with Dunraven policies and procedures.
  • Attend scheduled meetings and trainings assigned.
  • Attend wedding association meetings as the Dunraven representative, and any selected and assigned exhibitions.
  • Keep General Manager promptly and fully informed of all issues, and takes prompt corrective action where necessary.

Other Duties:

  • Bus, host and serve food when needed.
  • Assist in setup, and coordination of special events at the restaurant as needed.
  • Able to operate efficiently on restaurant’s two-way radio transceiver.
  • Assist in recruit and hire for non-management staffing for the banquets and events operation as needed.
  • Assist in discipline and termination of non-management banquets and events employees as needed, and in accordance with HR and company policy.
  • Execution of daily restaurant operations, including daily managers log, and closing sales report.
  • Perform all other duties and responsibilities assigned by at the discretion of management.
