Responsibilities:
  • Provides strategic calendar management and time planning support for the leaders, their direct reports, and other team members as directed within a business unit or function(s). within a business unit or function(s).
  • May handle community space/conference room calendars.
  • Provides continuous support for company events.
  • Coordinate/assist with new hire onboarding.
  • Generally encouraged to support departmental team members, and managers (up to L6)
  • Aligns calendar based on knowledge of individual or managers' preferences and operating styles.
  • Helps to prepare meeting settings (e.g., booking rooms, troubleshooting virtual settings, and catering).
  • May book travel for individuals or members of a team Provides travel arrangements using online tools (e.g., accommodations, transportation, security, group codes) for manager(s) and/or group.
  • May run multiple calendars: individuals or team.
  • May reconcile expenses for multiple people.
  • Helps provide onboarding support for new employees, vendors, and interns, under the direction of senior team members (e.g., ordering new hire equipment, setting up workstations, distribution lists, security groups).
  • Work closely and effectively with management to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Exercise good judgment while maintaining a realistic balance among multiple priorities.
  • Provide excellent customer service, including greeting and announcing clients, applicants, and visitors.
  • Schedule team meetings including room reservations, drafting an agenda, and providing vital documentation for the meeting(s).
  • Maintains up-to-date space management processes and team spaces (e.g., office locations/desk assignments, private conference rooms, seasonally transitional spaces, remote/location status), with guidance.
  • develops and maintains positive relationships with collaborators across multiple organizations (e.g., administrative professionals, Human Resources [HR], Finance, event planners, peers) to successfully support their leadership team's work.
  • Understands the business operating system, key partners, and interdependencies within the business and recognizes patterns.
  • Actively participates in the administrative community, performs various projects and tasks, and completes deliverables with little or no supervision.
  • Leads the coordination, logistics, and direction for events. Takes ownership for event outcomes Leads by example and serves as a role model to administrative colleagues by maintaining a positive demeanor, demonstrating business-appropriate presence, influencing others, and encouraging self-reflection during challenging situations.
  • Balances multiple projects end to end with varying deadlines, while maintaining executional and operational excellence. Understands and helps to implement Management Operating Systems in line with recognized patterns, and proactively acts on business cadence.

  • Provides support to the team and managers for the critical initiatives and develop standard processes at the department level.
Qualifications:
  • High school diploma or equivalent required.
  • 2-5 years of administrative experience
  • Intermediate skills in MSOffice (Outlook, Word, Excel, and PowerPoint)
  • Ability to earn trust, maintain positive and professional relationships, and strengthen our culture of inclusion
  • Must be a U.S. citizen or national, U.S. permanent resident (current Green Card holder), or lawfully admitted into the U.S. as a refugee or granted asylum.
