Job Description

The Utah Board of Pardons and Parole is seeking a highly motivated individual with excellent communication and organizational skills to fill the position of Criminal Information Specialist. The individual hired will serve as the lead and/or focal point in organizing and analyzing incoming criminal information, prioritizing workflow, authorizing selected clerical procedures, and ensuring quality control.

The Ideal Candidate
The ideal candidate will:

  • be familiar with Utah Board of Pardons and Parole practices
  • be familiar with criminal justice practices
  • have an advanced knowledge of Microsoft Office and Google products
  • have an advanced knowledge of Criminal Information Tracking software
  • have excellent customer service skills
  • have the ability to organize, prioritize, and complete tasks

Preferences

Preference may be given for the following:
  • Individuals who currently work, or have worked at the Board of Pardons & Parole
  • Individuals who have at least a bachelor's degree, and/or equivalent experience in the criminal justice system.

Example of Duties

  • Analyze, summarize, and review data; report your findings, interpret the results, and make recommendations as needed.
  • Prepare reports or other written materials
  • Perform initial background and history research on individual(s) being investigated as well as screen, compose, and control sensitive data.
  • Expose weak areas in cases and direct and correlate efforts to areas requiring further investigation.
  • Deliver presentations, stand up training, or instruction to staff, management, or the general public.
  • Identify data and information which suggest developing patterns of problems or complaints, from which general or specific trends and patterns can be discerned.
  • Answer Board related questions from stakeholders.

Typical Qualifications

  • Current experience with offender information tracking systems
  • Current experience with prioritizing and distribution of incoming UDOCA reports which include RIM request, warrant request, special attention request, offender correspondents and public correspondents.
  • Experience working with and identifying legal documents in courts, police, or other law enforcement arenas.
  • Be effective in dealing with people in a manner which shows sensitivity, tact, and professionalism
  • Current experience in entering, transcribing, recording, storing, or maintaining information in either written or electronic form.
  • Have strong knowledge of principles, practices and procedures of an office environment
  • Excellent capabilities in operating a computer and the associate software
  • The expertise knowledge of legal document to be able to review and/or edit documents for accuracy and completeness
  • Effectiveness in communicating information and ideas clearly, and concisely, in writing; read and understand information presented in writing
  • Have strong working knowledge of legal grammar, spelling and punctuation
  • Time Management - effectively managing one’s own time
  • The ability to come up with, at times even without specifically being asked, unusual or clever ideas about a given topic or situation, or to develop creative ways to solve problems
  • Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology

  • Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work.
