DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS
The Houston Public Library is a dynamic and diverse organization that serves one of the largest service areas – both population and area – in the country. 2.3 million residents in the City of Houston are the primary beneficiaries of a comprehensive customer-focused service delivery strategy. Our system is comprised of 44 public service units including 31 Neighborhood Libraries, four Regional Libraries, three Special Collection Libraries and four Express Libraries, the HPL Mobile Express and a satellite library located at the Children's Museum of Houston. Our flagship facility, Central Library, located in downtown Houston, anchors this constellation of service points. Public libraries are trusted community and cultural centers that serve a highly diverse populace. Houston Public Library is seeking a highly skilled Sr. Customer Service Clerk to function as the Library's Volunteer Services Coordinator. The person in this position will be responsible for coordinating, facilitating, and organizing youth and adult volunteers for the HPL system in collaboration with site Volunteer Supervisors at each of our locations. The person will also coordinate and manage the department’s Combined Municipal Campaign and Hire Houston Youth programs

The essential duties and functions of the position include but are not limited to the following:

  • Provides direction, coordination, and consultation for all volunteer functions within the Library
  • Develop, promote, and maintain a wide range of volunteer opportunities within the organization
  • Survey staff regularly to assess needs for volunteer assistance
  • Maintain Volunteer Service Descriptions for each volunteer assignment
  • Ensure volunteers are staffed to support the various areas of operations
  • Conduct and/or arrange for volunteer orientation and training
  • Receive, review, screen and forward volunteer applications
  • Coordinate volunteer background reviews and screening
  • Develop and manage volunteer policies, procedures, and standards of volunteer service
  • Assess volunteer feedback received through comment forms
  • Organize and participate in volunteer recognition programs and special events
  • Evaluate all aspects of volunteer programs to ensure effectiveness and to recommend/implement changes as appropriate
  • Maintain accurate records and provide timely statistical and activity reports on volunteer participation
  • Recruit, interview and place applicants for volunteer work
  • Host and attend recruiting events within the community to attract qualified candidates
  • Develop and maintain relationships with partner organizations within the area
  • Provide ongoing support and guidance for volunteers
  • Act as a single point of contact for communications
  • Confer with volunteers to resolve grievances and promote cooperation and interest
  • Assist with youth interns, education volunteers, program volunteers
  • Oversee program budget
  • Coordinate reservations for volunteer groups
  • Perform routine office work including use of MS Office products and web-based volunteer management system
WORKING CONDITIONS
Position requires driving, stooping and bending; lifting of library materials up to 20 pounds. Must be able to move freely throughout the library to file/retrieve library materials. Must be able to effectively communicate orally and in writing.

MINIMUM REQUIREMENTS

EDUCATIONAL REQUIREMENTS
Requires a high school diploma or GED.

EXPERIENCE REQUIREMENTS
One (1) year of clerical/customer service experience is required.

PREFERENCES

**Preference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.**

Preference will be given to applicants with:

  • Previous volunteer coordination experience or similar role
  • Prior nonprofit and/or government experience
  • Technology proficiency (i.e. Microsoft Office)
  • Strong communication and interpersonal skills
  • Proven experience working collaboratively with internal and external customers
  • Demonstrated ability to manage change effectively
  • Proven experience achieving results
