Position Overview

Under general direction of the Business Manager, serves as administrative support. Assists in the interpretation and implementation of policies and procedures relative to Storehouse, Security, Campus Maintenance, Support Services, Campus Delivery, Transportation and Switchboard; conducts reviews and analysis of procedures within the unit to determine effectiveness and makes recommendations for policy and procedure changes.

Job Responsibilities

1. Serves as administrative support to the Business Manager for the Shapiro Center.


2. Conducts special projects and studies by gathering data, coordinating, monitoring and completing assigned projects.


3. Assists supervisor in the planning, developing, organizing, implementing, evaluation and performing of office procedures. Gathers, maintains and provides statistical data of the facility. Reviews and develops plans of corrections for deficiencies noted during audit or other survey inspections. Consults with facility supervisors concerning any administrative needs and other related areas.


4. Develops and maintains good working relationships with inter-departmental personnel as well as other departments within the facility. Verifies office services and activities are properly maintained to meet the needs of the facility. Interprets facility policies and procedures for personnel, individuals, family members, visitors etc. as directed by the supervisor.


5. Interprets and explains policy and procedures relative to the office functions to other administrative staff and employees.


6. Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of four years of college, preferably with courses in public or business administration.
  • Requires one year of professional experience in a public or private organization, or completion of an agency approved professional management training program.

Knowledge, Skills, and Abilities

  • Prefers elementary knowledge of agency functions, policies and procedures.
  • Prefers the ability to effectively communicate in both verbal and written form.

Conditions of Employment

  • Requires the ability to meet all agency vaccine/health-related policies and guidance.
  • Requires ability to pass the IDHS background check.
  • Requires ability to pass a drug screen. On January 1, 2020, the Cannabis Regulation and Tax Act made it legal for residents over the age of 21 to produce, consume and sell cannabis in Illinois.
