Job Summary:

Acts as program receptionist and provides clerical support and services to clinic personnel in the WIC Program.

Job Description:

Clinical Support

Follows State WIC Agency policies and procedures for accuracy and detail in:

  • explaining the WIC program

  • determining WIC eligibility

  • obtaining demographic information

  • updating client information

  • scheduling appointments

  • tracking and follow-up of missed appointments

  • reviewing and follow up of monthly termination reports

Collects and documents all information needed to process new applicants and determine eligibility in a confidential and sensitive manner.

Prints and mails client paperwork and WIC checks when needed.


Researches client questions and directs to counselors when necessary.


Schedules/reschedules client appointments.


Has a working knowledge of messaging contractor website for confirmation of WIC appointments, notification of WIC event and retrieve reports to ensure client participation in WIC.

Reviews clinic schedules to ensure proper clinic coverage.


Notifies Office Coordinator of clinic schedules changes.


Assists in maintaining clinic flow and notifies clients & counselors when there are delays.


Ensures all client information regarding eligibility, clients exchanges and benefits issuance are documented and are accurate and complete.


Supports breastfeeding by offering private areas for breastfeeding mothers.


Clerical Duties


Oversees office supply inventory for clinics.


Submits order requests to Director or State WIC Agency for needed materials.


Complies with MGH WIC and State WIC Agency documentation and record keeping guidelines.


Attends to office maintenance issues and requests.


Updates, documents and submits required monthly reports required by State WIC Agency

Receives and distributes mail.


Ensures daily that clinic is open and ready for daily operations.


Ensures daily that clinic is properly closed and secured at end of day.


Answers incoming calls.


Ensures faxes are distributed to appropriate staff.


Ensures WIC clinics are inviting, clean, comfortable and safe for WIC clients.


Professional Development


Takes initiative for own professional growth and development in order to appropriately perform job duties and serve clients.


Attends all mandatory WIC trainings required by State WIC Agency policies.


Documents all trainings pertaining to WIC regulations.


Meets State WIC Agency required annual continuing education requirements for customer service and

breastfeeding education.


Completes trainings as assigned by the date due.


Other Duties Assigned


Attends staff meetings, workgroups, workshops and conferences as assigned and is present, engaged and prepared.


Promotes WIC through community outreach, special projects and duties as assigned.


Is flexible when asked to perform other tasks as requested.


Accepts supervision and guidance and actively participates in efforts to improve quality of performance.
