Receptionist
Receptionist: Performs routine work operating a telephone switchboard or console and performing receptionist duties. Work involves placing, answering, and transferring local and long-distance calls; receiving visitors, and providing general information. Ability to work harmoniously with individuals, their families and staff. Works under moderate supervision with limited latitude for the use of initiative and independent judgment. May be required to work extended hours until adequately relieved by on-coming switchboard employee; may be required to come in early from time to time to provide adequate switchboard coverage; may have to work alone; and fulfill and perform other job duties as assigned.
Hours: Saturday/Sunday 8:00am-4:00pm; Monday – Friday 6am-2pm/2pm-10pm. May need to work some overtime and holidays. Shift may vary based on the needs of the facility.


Essential Job Functions:
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned. Must communicate well and speak clearly. Ability to react quickly and calmly in emergency situations. Provide exceptional customer service. Answers and transfers calls coming into switchboard console. Respond as required to all medical, fire and weather emergencies. Act as receptionist and provide assistance to general public. Relays all necessary information by e-mail, telephone, and pager communication systems to all support staff involved in any receipt of messages. Demonstrate responsive attitude in dealing with public. Assist parents/guardians in attaining information and passes. Distribute to staff and client lost funds, when report monies lost from vending machines. Assist applicants with applications and distribute applications as appropriate. Log all TEX-AN (TEX-AN - which stand for Texas Agency Network) and long distance calls put through switchboard. Complete fire drill and medical emergency reports and paperwork associated with shift. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location. Provide clerical support to Security and Risk Manager as needed.

Knowledge Skills Abilities:
1. Knowledge of and ability to demonstrate use of Microsoft Word, Excel, Power Point and Outlook.
2.Knowledge of the operation of a telephone switchboard or console, multi-line telephones, or call centers.
3.Ability to clearly communicate verbally in English on a variety of devices.
4.Skill in articulating directions, operating requirements, or policy to a variety of individuals.
5.Ability to stand and reach above shoulder level, walk up and down stairs.
6.Ability to write clear and complete sentences, to make up operating guidelines or procedures.

Initial Selection Criteria:
Graduation from an accredited high school or GED.
Work experience as a switchboard and receptionist.
Some work experience in handling of money.
Experience in providing exceptional customer service.
Clerical and computer experience.

Salary Note: The salary offered will follow HHS starting salary guidelines which are typically made at or near the minimum of the salary range.
