OC San is currently looking to fill the role of an Office Assistant.

Under general supervision, the Office Assistant will serve primarily as the receptionist, central telephone switchboard operator and initial point of contact for visitors at the Orange County Sanitation District.

The position will perform a variety of routine clerical responsibilities in support of the District; including: receive office and telephone callers; refer callers to appropriate District staff for further assistance as needed; respond to complaints and requests for information; maintain calendar of activities, collect and assemble data and background materials for a variety of reports, arrange and coordinate meetings, and various events for assigned staff; collect and process appropriate information, assist other District staff, the general public, and outside groups and agencies by providing information related to specific programs; maintain safe and clean work area and assist in monitoring visitor access, and maintaining security awareness. Responsibilities also include establishing and maintaining filing systems; type a variety of documents and correspondence; maintain and order supplies and materials for department staff, prepare and maintain a variety of manual and automated records; operating a variety of office equipment including a computer, scanner, fax machine and copiers; and other related duties as assigned.

Qualifications & Requirements

The successful candidate will possess:

  • High school diploma or equivalent;

  • One year of increasingly responsible clerical support experience.


Desirables:

  • Prior public sector clerical experience.

  • An intuitive team player with strong communication and customer service skills, knowledgeable in the proper use of grammar, spelling and punctuation.

  • Proven ability to organize and prioritize a variety of projects and multiple tasks in an effective and timely manner is required.

  • The ability to use sound judgment and is able to work independently and collaboratively; maintain professionalism, courtesy, and composure at all times, including during stressful situations; and be able to establish and maintain good working relationships with those contacted in the course of work.

  • Computer proficiency, including familiarity with MS Office applications (e.g., Word, Excel, PowerPoint, Teams, and Outlook).

PHYSICAL DEMANDS:


Must possess mobility to work in a standard office setting and use standard office equipment, including a computer; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone. This is primarily a sedentary office classification although standing in work areas and walking between work areas may be required. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard, typewriter keyboard, or calculator and to operate standard office equipment. Positions in this classification occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information. Employees must possess the ability to lift, carry, push, and pull materials and objects up to 10 pounds.


ENVIRONMENTAL ELEMENTS:

Employees work in an office environment with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances. Employees may interact with upset staff and/or public and private representatives in interpreting and enforcing departmental policies and procedures.



DISASTER SERVICE WORKERS:
All OC San employees are designated Disaster Service Workers through state law (California Government Code Section 3100-3109). Employment with the OC San requires the affirmation of a loyalty oath to this effect. Employees are required to complete all related training as assigned, and to return to work as ordered in the event of an emergency.
