The State of New Hampshire, Department of Safety, Division of Fire Standards and Training & EMS has a full time vacancy for an Administrative Assistant I. This position is a 37.5 hour work week and is non-exempt.
SCOPE OF WORK: To supervise the administrative operations and support for the Director and senior staff of the Division of Fire Standards & Training and Emergency Medical Services.

ACCOUNTABILITIES:
Provides administrative support to ensure that Division operations are maintained in an effective and accurate manner; manages schedules and coordinates meetings for the Director and/or senior staff.
Prioritizes and organizes diversified workload and recommends changes in office practices or procedures. Resolves administrative problems by examining work flows and identifying solutions.
Interacts with a diverse group of external customers as well as internal contacts within the Division; independently answers routine and non-routine correspondence and telephone inquiries which can be highly confidential and contain sensitive information.
Maintains in-depth knowledge of the procedures of the Division to respond to inquiries made through the Director’s office and maintains familiarity with the Division’s website in order to assist with inquiries.
Coordinates various Board and Commission meetings by scheduling members and resources, drafting agendas, obtaining supplies, coordinating mailings, and recording, distributing and archiving minutes.
Gathers and summarizes statistical information and prepares operational reports related to inquiries such as student enrollment, certification pass rates and licenses to provide metrics for senior management.
Develops formats, edits and distributes newsletters pertaining to events within the Division. Solicits, compiles and researches topic areas that pertain to the specific audience.
Assists with special projects and assumes responsibility for the development, administration and promotion of specific projects, as assigned. Coordinates annual award ceremonies.
MINIMUM QUALIFICATIONS:
Education: Associate's degree from a recognized college or technical institute with a major study in business administration, accounting, or public administration or related field. Each additional year of approved formal education may be substituted for one year of required work experience.
Experience: Three years of experience in responsible office or business management activities. Each additional year of approved work experience may be substituted for one year of required formal education.
License/Certification: None required.

SPECIAL REQUIREMENTS:
Selected candidate will undergo a fingerprint based criminal background check and motor vehicle record check in order to ensure suitability for exposure to confidential information.
