Summary

This position is located within the Nursing Service at the New Mexico VA Health Care System in Albuquerque, New Mexico. The Administrative Assistant services as a technical specialist, analyst and subject matter expert for the implementation, maintenance and long-term enhancement of automated staff scheduling systems, facilitating coordination of master staffing schedules for all inpatient clinical unit.


Responsibilities

Major duties and responsibilities include:

  • Assists the Patient Flow Nurse Manager in the placement of clinical staff, taking into consideration unit census, turbulence, and availability of the overall staff
  • Ensures Nurse Managers have their daily staff requirements met
  • Assists the staffing manager withadministrative processes to identify, develop and implement appropriate staffing methodologies used by inpatient nurse managers for projection of short-term and long-term unit staffing requirements
  • Assistsin coordinating daily assignments for float pool and intermittent nursing personnel
  • Establishes and maintains automated Decision Support Systems and staffing databases to enable tracking, trending and allocation of available nursing resources
  • Generates standard and ad-hoc clinical information data reports
  • Utilizes designated clinical information systems to perform data pulls, and sort and evaluate pertinent clinical outcomes data
  • Maintains information tracking systems to validate data sets needed to establish and review clinical process improvement initiatives
  • Ensures data validation, compiles data, produces trends, and makes recommendations based on the data and requirements
  • Participates in the development and review of nurse staffing and scheduling policies and procedures
  • Assures that all daily staffing reports and worksheets are completed and maintained
  • Coordinates and facilitates the ongoing implementation, evaluation and effective use of the automated scheduling system
  • Assists in the development of daily, weekly, and monthly reports that pertain to the utilization of nursing staff and trending of nursing care outcomes data throughout the Medical Center
  • Performs other related duties as assigned

    Qualifications

    To qualify for this position at the GS-7 grade level, you must have: At least one (1) full year of specialized experience that equipped the you with the particular knowledge, skills, and abilities to successfully perform the duties of this position at the full performance level, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level in the federal service (GS-6). Specialized experience includes: Experience Assisting/assuring i.e. identification of staffing shortages, deficiencies, efficient allocation of nursing personnel needed to maintain safe unit staffing levels as needed; Coordinating and facilitating the ongoing implementation, evaluation and/or effective use of the automated scheduling system as needed; Assisting in the development of daily, weekly and monthly reports that pertain to the utilization of nursing staff and/or trending of nursing care outcomes data as required; Utilizing office automation i.e. Microsoft Word, Excel, Access, Power point and program Management software; Creating/maintaining other databases pertinent for effective and efficient tracking and/or trending of all staffing, scheduling and/or nursing outcomes information; Utilizing all administrative aspects of the automated staffing program to customize data report used by management in the oversight and/or utilization of nursing personnel and resources; Providing the customer with consistent information in accordance with established policies and procedures. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.

    Physical Requirements: The work is sedentary and is usually accomplished while the incumbent is comfortably seated at a desk or table. Some walking and standing may occur in the course of a non-workday in connection with attendance at meetings and conference, or while researching files. Items carried typically are light objects such as briefcases, notebooks, and data processing reports. Lifting of moderately heavy objects is not normally required. No special physical effort is required to perform the work.

    Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. VA may offer newly-appointed Federal employee's credit for their job-related non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
