Job Description:

  • Receiving new hire files from Human Resources and initiating the MDAD Badge process.
  • Verifying legal documents necessary to obtain MDAD Badge and prepare MDAD applications accordingly.
  • Scheduling and coordinating of fingerprint appointments between MDAD, CBP, and the new hire/employee
  • Send CBP application to the new hire/employee in a timely manner upon successfully receiving the fingerprint results. Identify any mistakes and have the applicant correct the form. Once ready, the form is submitted to CBP.
  • Coordinate SIDA class with the new hire once all government agencies (MDAD, TSA, and CBP) notify appropriate channel that employee is authorized to work at the airport.
  • Relay information once the employee has obtained their SIDA badge to the Human Resources department so they may schedule Orientation. An email with the necessary employee information is sent to all administrative departments (pseudo # request, uniforms, and training).
  • Cover the Front Desk as needed to make sure it is tidy, presentable, and never left unattended.
  • Greet and welcome employees/visitors as they come in the office.
  • Attend to employees/visitors and answer any general questions.
  • Answer incoming calls and re-direct to appropriate area or take a message.
  • Receive letters, packages etc. and distribute them.
  • Provide company letter authorization for Employee Parking
  • Provide company letter authorization for MAG Card Parking.
  • Sign off on Ramp Driver’s License (AOA) test.
  • Assist managers with obtaining visitor ID’s.
  • Oversee and coordinate other staff within the department
  • Coordinate employee confiscation hearing with Manager and involved party
  • Conduct internal self-audits and assist with external audits.
  • Responsible for preparing the CBP package needed to request the CBP Seal as well as updating the information of the renewed badge in all the ID databases.
  • Keep the MDAD list of ID Badges for the company updated and process the COC for terminated employees.
  • Perform the quarterly CBP Quality Report and monthly self-audits between the ID section Database and MDAD.
  • Ensure compliance with all ID related regulations and processes.
  • Other duties as assigned.

DUTIES AND RESPONSIBILITIES:

  • Good relations and good communication process with the Company Managers and management employees in general, MDAD, CBP and others airport authorities.
  • Be able to complete all the requirements needed to process application and get approval in order the employee be ready to work inside the airport.
  • To ensure that compliance with the guidelines of the GSE Director, MDAD, CBP on issues related to the development of ID process are completed and meet.
  • Keep track of the uniform ordering, distribution, and storage process.
  • Keep proper inventory of the uniforms and items an employee needs in order to work.
  • Maintain the Front Desk clean and cover all the entitle processes (greet and answer employee questions, answer phones and emails, redirect employee to the proper person or department so they can resolve or clarify any questions or issues, etc.) needed in order to keep the office functions going.

EDUCATION AND EXPERIENCE

  • Fluent in English & Spanish
  • Planning and organizational skills
  • Strong computer skills including Microsoft Office, especially World and Excel.
  • Knowledge of relevant regulatory requirements in airport. (Chapter 25 MDAD)

KNOWLEDGE AND ABILITIES

Must be trained or capable of being trained in MS Office programs including Outlook, Word and Excel as well as others internal company systems such as Kronos, ADP and Workday. Excellent knowledge of all company policies and procedures will be required.

EXPECTED HOURS OF WORK

Flexible schedule required. The employee must be available during his/her work schedule and must communicate in advance to the Director, in case of any impossibility of attending to the job, according to the company's policy. He or she should be open to work at any day/time, including Holiday’s and weekends.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
