Summary

About the Position: Executive-level Secretary for the Headquarters, U.S. Army Corps of Engineers, Mississippi Valley Division (MVD), serving General Office or Senior Executive Service levels with responsibility for carrying out and coordinating clerical, procedural, and administrative support duties required to facilitate the work of the office.

**This position will be located in Vicksburg, MS and will allow for some telework. This position is NOT eligible for Full time telework.


Responsibilities

  • Provide consistency and continuity of administrative and procedural processes for subordinate offices consistent with those of the supervisor's office. Provide guidance to staff and secretaries for implementation of policies.
  • Answer the telephone and greets visitors to the office. Screen calls/visitors ascertaining name, affiliation, and purpose of call/visit.
  • Exercise control over supervisor's appointments with complete authority for commitments of time, establishing priorities at own discretion, setting up, rearranging, and when necessary, coordinating meetings with staff offices.
  • Receive/process all correspondence and documents transmitted through the office of the Director for review, approval, and/or signature.
  • Prepare detailed itinerary for official travel (inspection trips, conferences, appointments) for the Director, assuring that there are no date or time conflicts and that allowances are made for travel time.
  • In the absence of the Director, assume responsibility for ensuring requests for action or information from offices within and outside of Division are made known to the responsible personnel who can satisfy the request.
  • Monitor resulting activities for the purpose of briefing the Director. Decides whether matters should be brought to the Director's attention when the Director is absent but accessible.

    In order to qualify, you must meet the experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Your resume must clearly describe your relevant experience; if qualifying based on education, your transcripts will be required as part of your application.     To qualify for the GS-07, your resume must describe at least one year of experience which prepared you to do the work in this job. Specialized experience is defined as: (1) performing the procedural and administrative work of an office such as making and preparing Government travel arrangements, records management, screening calls and visitors, and maintaining supervisor's electronic calendar; (2) knowledge of Microsoft office suite applications to prepare, review and edit correspondences, graphs, charts, etc. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service GS-06.

    To qualify for the GS-08, your resume must describe at least one year of experience which prepared you to do the work in this job. Specialized experience is defined as: (1) organizational skills sufficient to maintain scheduling of high profile officials; (2) knowledge of electronic mail, electronic calendars, database software, and preparation of detailed itinerary for official travel; and (3) communication skills to interact with high level officials and dignitaries. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service GS-07.

    Some federal jobs allow you to substitute your education for the required experience in order to qualify. For this job, you must meet the qualification requirement using experience alone-no substitution of education for experience is permitted.
