The Private and Internal Events Manager is responsible for actively pursuing, booking, coordinating and managing private events at WISEACRE in addition to assisting in WISEACRE’s internal events. In order to help ensure all aspects of this position are performed as expected, measurable metrics will be provided along with regularly scheduled performance reviews. This full-time, permanent position reports to the Taproom General Manager.

Essential Duties and Responsibilities

  • Actively pursue new business with corporate clients for the Bubble Room at HQ, Chautauqua pavilion at OG, Full Facility, and Daytime Taproom rentals as well as smaller breakout spaces
  • Establish recurring events with corporations/ organizations.
  • Manage increased event sales opportunities presented with the opening of WISEACRE 2
  • Work with external event planners to position WISEACRE’s HG & OG locations as top tier wedding and event destinations
  • Manage incoming inquiries by responding to emails and calls in a timely manner, tracking inquiries, documenting contact and following up with potential clients
  • Book events by sending an appropriate contract, keeping an accurate calendar for all spaces and taking a deposit for event date
  • Create and maintain marketing materials including but not limited to digital media, printed pamphlets, website posts, facebook events, etc
  • Coordinate and manage event details with clients including, but not limited to, event start time, guest count, vendor recommendations, and order of events
  • Clearly communicate with potential and current clients
  • Help clients with event planning as needed
  • Coordinate rentals and catering for clients upon request
  • Independently review and update event policies and procedures, maintaining all necessary paperwork for event booking and production
  • Maintain event booking system and accurate reporting of event financials
  • Maintain detailed files for all booked events
  • Manage event and staff during scheduled events
  • Meet with customers and potential clients as needed for walk-throughs of venue
  • Maintain an up to date CRM to accurately track and utilize customer data
  • Create custom proposals with pricing for clients upon request
  • Establish contacts and relationships with vendor partners to provide approved services to clients as well as business referrals
  • Maintain in-house catering menus in partnership with approved catering vendors
  • Coordinate with Taproom GM to staff appropriately for all events
  • Complete scheduling and maintenance of all event spaces
  • Communicate with WISEACRE employees and staff regarding upcoming events
  • Assist in planning all-staff outings as needed
  • Communicate social media needs to Social Media Coordinator
  • Ensure exceptional service and unique experiences for all event guests.
  • Be knowledgeable about WISEACRE products, beer in general, and the beer making process

Qualifications & Requirements

  • Bachelor's or Associate’s Degree with at least 1 year experience directly related to the duties and responsibilities specified
  • Experience in sales, event coordination, and/or hospitality industry
  • Familiarity with event booking and management software
  • Familiarity with Google Suite
  • Willingness to work mornings, evenings and weekends as required
  • Has or willing to obtain TN ABC Server Permit within 3 months of hire date
  • Has or willing to obtain Certified Beer Server Cicerone certification within 6 months of hire date
  • Exceptional communication and time management skills
  • Excellent organizational skills
  • Keen attention to detail
  • Knowledge and experience with service methods and beer; the ability to “jump in” if needed during an event
  • Self-motivated
  • Problem solver with grace under pressure
