The Customer Service Representative located in Chanhassen MN, position is to support the order to invoice process for customers of the business line. The roles and responsibilities of this essential position ensure products are ordered for on time delivery while minimizing risk for the team, BL, and company.
Customer Service responsibilities are supported Monday through Friday
Liaise between Sales, Technical Deliver Consultant (TDC), and Studio team to collect all details required for order item creation.
Communicate production requirements and shipping needs with local and Interco manufacturing sites and personalization locations.
Support all invoicing activities and communication requirements for shipments; monthly, quarterly, and at year end.
Support Sales Ops by representing the CS team to provide requirements for production by customer.
Interact daily with personalization sites as it relates to issuance needs.
Ensure all corporate processes are implemented and followed for the Order to Invoice process.
Represent the team on calls for various topics/customers/products.
Complete quarterly audits with accuracy and min 90% score.
Document, report, and track for follow up and corrective actions all issues reported by the customer.
Attend training as required to support the Customer Service position.
Required Skills and Experience:
At least 3 years of prior experience working with customers and/or internal teams to support order to invoice process.
Prior experience organizing tasks in a fast paced environment while prioritizing urgent requests from various sources to ensure on time completion and immediate communication.
History of thinking outside of the standard process for continuous process improvement and solutions for conflict resolution. Asking questions and offering suggestions prior to the need arising are encouraged
Prior experience working across a matrix organization collaborating with internal and external customers to support business needs and identify conflict resolution.
Ability and experience reporting to a Manager who is in a remote location, ability to manage time when working outside an office environment
Prior experience working with a ERP system for order entry and invoicing tasks
Must be a U.S. Person able to obtain post-hire Moderate Risk Public Trust clearance from the U.S. State Department.
Preferred Skills and Experience:
Oracle or SAP experience
Experience working with a manufacturing environment
BA preferred or equivalent work experience
Spanish and/or Portuguese a plus
Interest in taking ownership of projects and driving them to completion
Experience working with a Sales team for customer support and order intake
