This Technical Records Specialist 2 position is located in our Operational Services Bureau Facilities Unit in the downtown Boise office and will provide facility and administrative support to the North, East and West Hubs for Facility Services. We are seeking applicants who excel at attention to detail, enjoy a variety of tasks and are well-organized for multi-tasking and changing priorities quickly. Previous SharePoint and Visio experience is preferred.

Example of Duties

  • Assist with maintaining continuous business operations and facilities within the Region and Hub
  • Motorpool resource, assignment, maintenance and scheduling duties
  • Dispose of surplus property by adhering to State Board of Examiners rules and regulations
  • Schedule and coordinate service contractors for various facility trades
  • Update/modify office floor plans
  • Annual fixed asset inventory and audit control
  • Administrator of card reader systems and badge access
  • Mailroom and postage meters
  • Assist with security issues
  • Report, track and monitor all vehicle and property insurance repairs and claims
  • Maintain inventory and purchase office supplies
  • Purchase items from state contracts, using both p-card and invoice payment methods
  • Assist staff with p-card inquiries Search, track and report on orders and payments
  • Assist with facility projects including office and staff moves
  • Perform special reporting and research as needed
  • Prepare invoices for processing, validating contract balances and cost codes for accuracy
  • Update and enter information into SharePoint sites – payables and auto insurance
  • Contract monitoring to ensure compliance

Minimum Qualifications

  • Experience monitoring record systems to identify and correct errors.
  • Experience performing extensive research and analysis of highly complex or technical material requiring in-depth program knowledge in order to determine if requirements were met and if they complied with established laws and/or policies.
  • Experience interpreting, explaining, and applying laws, regulations, and complex policies for multiple or highly specialized programs.
  • Experience entering and retrieving data using a computerized record system.
  • Experience dealing with individuals from varying cultural and socioeconomic backgrounds in stressful situations.
  • Experience composing and proofreading business correspondence.

Supplemental Information

Additional Qualifications: Are not required, however, having the minimum qualifications and the education and/or experience below will increase your score.

  • Experience with Microsoft Word/word processing software. Ability to operate word processing software (such as Microsoft Word) and equipment at the rate of 40 wpm or more and produce merged documents, specialized tables, reports (columns), correspondence, forms (creating and using templates), and graphics.
  • Some knowledge of data management. Gained through successful completion of a college level course equivalent to three semester hours; OR, through successful completion of a three-day course (approximately 20 hours) specific to data management; OR, through successful completion of three months' work experience performing data management activities such as database development, data collection, analysis, research and tracking, developing tables, queries, forms and reports.
  • Experience with Microsoft Excel (complex data analysis). Gained by one year of experience using spreadsheet software such as Microsoft Excel to create and modify electronic worksheets and design and print graphs. Includes complex data analysis using tools such as Pivot tables.
  • Experience using SharePoint. Gained by at least one year of experience using SharePoint.
  • Good knowledge of the operations of a Motor Pool Program. Gained by at least one year of work experience where a major responsibility of the position included ensuring that all vehicles were maintained, insured, licensed and properly equipped. I also had to monitor mileage; plan, schedule, and complete maintenance; and produce all necessary reports regarding the motor pool.
